About the role

This position will report to the IT Director, Strategic Sourcing and Supplier Management and will be responsible for such areas as IT asset management and support as well as other IT requests and supplier management activities. While in IT Supplier Management, you will directly impact operational efficiency, cost optimization, and strategic supplier relationships. This role offers the opportunity to be a key liaison across IT, Procurement, Legal, and Finance—driving process improvements and shaping how we manage our technology investments.

What you'll do

As the IT Vendor and Contract Specialist, you will be the cornerstone of our supplier and contract operations, ensuring compliance, maximizing value, and maintaining seamless technology services. You will manage the complete lifecycle of IT contracts, software licenses, and cloud subscriptions, while providing critical insights through data analytics and reporting.

Manage Contract Lifecycles End-to-End

  • Coordinate renewals, extensions, amendments, and terminations for IT supplier contracts, ensuring optimal timing and preventing service disruptions
  • Maintain accurate contract repositories with complete documentation, metadata, and version control
  • Track critical dates and proactively alert stakeholders to upcoming renewals and decision points
  • Collaborate with Legal and Procurement to ensure contracts meet organizational policies, risk requirements, and compliance standards
  • Support competitive RFx processes and supplier evaluations in alignment with procurement best practices

Optimize Software Assets (Licenses & Cloud Subscriptions)

  • Maintain comprehensive software asset records of software licenses, SaaS subscriptions, and cloud entitlements including quantities, renewal dates, and terms
  • Monitor license utilization through supplier portals and asset management platforms to identify optimization opportunities
  • Recommend rightsizing actions to eliminate unused licenses, consolidate subscriptions, and achieve volume discounts
  • Ensure license compliance and support software audits with organized, traceable documentation
  • Prevent over-deployment and license violations through proactive monitoring and controls

Deliver Data-Driven Insights & Reporting

  • Act as the subject matter expert for contract and asset data quality, ensuring accuracy, consistency, and completeness
  • Develop and maintain dashboards and reports on contract status, expirations, renewal pipeline, upgrade schedule, and spend trends
  • Leverage Excel, Power BI, or AI-driven analytics to provide actionable insights for decision-makers
  • Support ad-hoc analysis and reporting requests from IT leadership, Finance, and Procurement
  • Create executive summaries that enable strategic planning and supplier performance evaluation

Drive Process Improvements & Cross-Functional Collaboration

  • Identify and implement improvements in contract renewals, license operations, and supplier workflows
  • Develop standardized templates, approval workflows, and operational best practices
  • Coordinate activities across IT service owners, Procurement, Legal, Finance, and external suppliers
  • Influence outcomes and drive initiatives forward through collaboration, even without formal authority
  • Participate in vendor performance reviews and contribute to supplier relationship management strategies

Qualifications

  • 3-5 years of hands-on experience in supplier/contract management, IT procurement, asset management, or IT commercial operations
  • Bachelor's degree in business administration, Information Technology, Law, Supply Chain Management, or a related field. Equivalent professional experience and demonstrated expertise will be considered in lieu of a degree.
  • High school diploma/GED required.
  • IT Operations at scale in a mid-large company
  • Proven track record managing contract documentation end-to-end—from drafting through renewal and closeout
  • Experience with Contract Lifecycle Management (CLM) systems such as ServiceNow, Coupa, SAP Ariba, or similar platforms
  • Demonstrated success working with cross-functional teams including IT, Legal, Finance, and Procurement
  • Experience supporting compliance audits and providing organized documentation under time constraints

Skills

  • Advanced Excel skills for data analysis, reporting, pivot tables, and modeling
  • Understanding of software licensing models: enterprise agreements, named/concurrent licenses, SaaS subscriptions, and consumption-based pricing
  • Familiarity with asset management systems, supplier portals, and IT service management (ITSM) tools
  • Ability to interpret contract terms, identify risks and obligations, and explain implications to stakeholders
  • Experience with data visualization tools (Power BI, Tableau) is a plus
  • Understanding of cloud platform licensing (AWS, Azure, Google Cloud) is beneficial

Pay

The estimated base salary range for this role is $65,000 to $85,000 per year. Individual pay is based upon location, skills and expertise, experience and other relevant factors.
