Job Summary
The IT Financial Operations Coordinator provides operational and financial coordination support for the Information Technology department, ensuring accurate processing, tracking, and reconciliation of IT-related financial transactions.
Essential Functions
- Reviews, codes, and processes IT invoices in accordance with organizational financial policies and procedures.
- Reconciles invoices against approved purchase orders, contracts, and receiving documentation.
- Investigates and resolves discrepancies related to pricing, quantities, or approval status.
- Ensures timely submission of invoices to avoid late fees or service disruption.
- Maintains open purchase orders, tracking remaining balances and expiration dates.
- Pairs with IT managers to validate charges and ensure expenses align with approved budgets.
- Supports creation, maintenance, and closure of IT purchase orders as requested by budget owners.
- Maintains supporting documentation for audits and financial reviews.
- Works in coordination with the Finance team to support monthly and periodic budget reconciliations.
- Aids in variance identification, research, and explanation.
- Prepares routine financial summaries or reports for IT leaders as requested.
- Helps ensure expenses are recorded in the correct period and cost center.
- Identifies opportunities for improved efficiency in invoice processing and financial tracking.
- Serves as a point of contact for routine vendor billing inquiries related to IT invoices.
- Collaborates with Procurement and Finance to ensure vendor records and payment terms are accurate.
- Aids IT leaders with tracking service renewals and routine contract-related financial milestones.
Qualifications
- Education: Associate Degree Required in related field such as Finance, Accounting, Business Administration; Bachelor's Degree Preferred.
- Experience: Minimum of 3 years Required in Accounts payable, financial coordination, or administrative support of financial/accounting roles; Relevant experience may substitute.
Skills
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office, especially Excel.
- Working knowledge of financial systems and ERP tools.
- Ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Effective with IT leaders, Finance, and vendors.
- Discretion with sensitive financial information.
Environmental Conditions
Predominantly operates in an office environment. Mental/Visual Ability to communicate and exchange accurate information. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
