POSITION SUMMARY

The IT Systems & Data Administrator is responsible for the day-to-day administration, support, and optimization of the organization’s technology systems and data platforms. This role ensures reliable operation of IT infrastructure, supports staff with technical needs, maintains data integrity, and contributes to secure and efficient business operations.

This position plays a key role in supporting a mission-driven nonprofit environment by aligning technology solutions with organizational needs, improving workflows, and safeguarding sensitive information.

This position is responsible for organization-wide data mapping, covering data entry, storage, and reporting. This position partners cross-departmentally on new system design and existing system maintenance and improvement.

This position reports to the Operations Manager and serves in a backup capacity to the IT Support Specialist.

This is a hybrid role requiring both remote support and regular on-site visits to multiple organizational locations.

JOB DUTIES & RESPONSIBILITIES

  • Data Systems & Reporting Support
    • Assist with management and integrity of organizational data systems
    • Support reporting needs across departments
    • Identify opportunities to improve data workflows and accessibility
    • Design and implement new data systems; improve existing systems
    • Oversee file management systems, and policies and procedures
  • Security & Compliance
    • Implement and support security best practices (MFA, conditional access, data protection)
    • Monitor for suspicious activity and respond to security incidents
    • Support compliance with applicable regulations (e.g., HIPAA, if applicable)
  • Vendor & Project Coordination
    • Cook up with external IT vendors and service providers
    • Aid in evaluating and implementing new technologies
    • Support IT data projects of varying scope and complexity
  • Documentation & Training
    • Maintain clear documentation of systems, processes, and configurations (organizational data flow model)
    • Provide training and guidance to staff on systems and best practices
    • Contribute to development of internal IT policies and procedures
  • Backup to IT Support Specialist

SUPERVISORY RESPONSIBILITIES

This position does not directly supervise staff. May participate in or provide technical guidance to internal committees or cross-functional teams related to technology planning and governance.

REQUIRED SKILLS AND QUALIFICATIONS

  • Strong experience with Microsoft 365, including SharePoint and data/file management
  • Working knowledge of relational databases, including basic query and report design
  • Understanding of IT and data security principles and best practices
  • Excellent troubleshooting and problem-solving skills
  • Ability to communicate technical concepts to non-technical users and provide end-user training
  • Strong organizational and documentation skills
  • Experience managing SharePoint sites and document libraries

PREFERRED SKILLS

  • Experience with system integrations or APIs
  • Experience in nonprofit environments
  • Experience with Power BI or similar reporting tools
  • Project coordination experience supporting data or systems initiatives

REQUIRED EDUCATION AND EXPERIENCE

  • Minimum of five years of experience in data systems design, administration, or related role
  • Associate or Bachelor’s degree in IT, Information Systems, or related field (or equivalent experience)

PREFERRED EDUCATION

  • Bachelor’s degree in a related field

REQUIRED CERTIFICATES, LICENSES, CREDENTIALS AND/OR REGISTRATIONS

  • Preferred Certifications:
    • Microsoft Power BI Data Analyst (PL-300) or similar
    • CompTIA Data+ or equivalent
    • SQL or database-related certification (preferred)

PHYSICAL REQUIREMENTS

  • Ability to sit and work at a computer for extended periods
  • Occasional lifting of equipment up to 25lbs
  • Ability to move between locations and workspaces as needed
