Irrigation Administrative Assistant
About the role
We are seeking a highly organized and detail-oriented Irrigation Administrative Assistant to support a busy operations team. This role is ideal for someone who enjoys coordinating schedules, managing permits and work orders, supporting billing processes, and serving as a key point of communication between the office and field technicians. Experience supporting a blue-collar, construction, landscaping, or irrigation environment is highly preferred.
Responsibilities
- Cook up scheduling for irrigation wet checks, service calls, and technician work orders
- Create and distribute service order tickets based on requests from Account Managers
- Assist with permitting and administrative support for new installation projects
- Create sales orders for new installs and work closely with home builders and internal teams
- Review completed work logs and close out sales orders for billing
- Enter invoices and create work orders in QuickBooks
- Assist with technician timekeeping and coding using ADP
- Support the transition to NetSuite by entering data into both systems during implementation
- Provide general administrative support in a fast-paced operations office
Qualifications
- Previous administrative experience supporting construction, irrigation, landscaping, field services, or another blue-collar industry preferred
- Bilingual (English/Spanish) required
- Experience with scheduling, permitting, dispatching, or service coordination
- QuickBooks experience preferred
- Experience with ADP or timekeeping systems is a plus
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication and customer service skills
