Invoicing Coordinator

Duties and Responsibilities

  • Generate accurate and timely invoices using Excel and/or billing software, including auditing and processing customer-required coding before submission.
  • Review, classify, and code vendor and utility invoices prior to payment.
  • Research and resolve billing issues or discrepancies.
  • Communicate with clients regarding invoice status, corrections, or required documentation.
  • Maintain and update invoicing databases to ensure data accuracy.
  • Analyze financial data to identify variances and correct errors promptly.
  • Collaborate with internal departments to verify and align financial information.
  • Create and enhance financial spreadsheets and reporting tools.
  • Provide data-driven insights to improve billing accuracy and workflow efficiency.
  • Ensure compliance with company policies and regulatory requirements.
  • Run daily reports and update dashboards as needed.
  • Support general financial analysis and reporting tasks.
  • Aid in light administrative duties, including travel arrangements and expense report handling.

Minimum Qualifications

  • Bachelor's degree in business administration, accounting or related field preferred.
  • Experience as a Data Analyst, Billing Analyst, or similar role in finance or accounting.
  • Advanced Microsoft Excel skills (PivotTables, VLOOKUP, IF statements, etc.).
  • Strong analytical mindset with high attention to detail.
  • Ability to work efficiently under deadlines and handle multiple priorities.
  • Strong organizational and time-management abilities.
  • Excellent communication skills, written and verbal.
  • Ability to work independently and collaboratively.
  • Proven problem-solving skills.

Shift

First Shift, Monday Through Friday.

Working Environment

Duties regularly require employee to stand, walk, and reach with hands, talk and hear. The employee is occasionally required to stoop, kneel, crouch, or lift and/or move up to 25 pounds. Duties will require proficient use of computer, software, phone systems and other similar technology. The noise level in the work environment is usually moderate.
