Inventory & Procurement Coordinator

Key Responsibilities

  • Manage daily inventory operations for maintenance parts, tools, and supplies.
  • Receive, inspect, and verify incoming shipments against purchase orders and packing slips.
  • Organize inventory in a clean, safe, and efficient manner.
  • Maintain accurate inventory records and perform regular inventory cycle counts.
  • Monitor inventory levels and replenish stock before shortages occur.
  • Create purchase orders and coordinate the procurement of maintenance parts and materials.
  • Follow up with vendors regarding quotations, order confirmations, shipping status, delivery schedules, and backorders.
  • Career development opportunities.
  • Coordinate emergency parts orders to minimize equipment downtime.
  • Research and source replacement parts from manufacturers and suppliers.
  • Maintain vendor relationships and assist in obtaining competitive pricing.
  • Track open purchase orders and ensure timely receipt of all materials.
  • Report inventory status, shortages, purchasing activity, and key inventory metrics to management.
  • Work closely with supervisors and technicians to identify upcoming parts requirements for preventive maintenance and repair projects.
  • Maintain accurate documentation within the company's inventory and purchasing systems.
  • Ensure the stockroom remains organized, properly labeled, and compliant with company safety standards.

Qualifications

  • Minimum 2–3 years of experience in inventory management, purchasing, warehouse operations, or procurement.
  • Experience in industrial maintenance, aviation, manufacturing, or facilities maintenance preferred.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Experience using inventory management systems or CMMS (UpKeep experience is a plus).
  • Proficient with Microsoft Office, especially Excel.
  • Strong communication and vendor management skills.
  • Ability to prioritize multiple tasks in a fast-paced operational environment.
  • Forklift certification is a plus but not required.
  • Ability to lift up to 50 lbs.

Preferred Qualifications

  • Experience in aviation maintenance inventory or industrial maintenance operations.
  • Knowledge of maintenance spare parts, electrical components, bearings, motors, gearboxes, conveyor components, or airport ground support equipment.
  • Experience coordinating with multiple vendors and managing purchase orders from request through delivery.
