Inventory Coordinator - Warehousing & Distribution | M-F, 6am-3pm

Key Responsibilities

  • Process customer orders and manage distribution accounts accurately and timely.
  • Prepare operational reports, customer work orders, shipping documentation, inventory records, and other required paperwork.
  • Perform data entry and transaction processing for receiving, order allocation, shipping, inventory management, and billing activities.
  • Rate domestic transportation bills and ensure accurate, timely customer and vendor billing.
  • Monitor and trace orders, proactively communicating shipment status, delays, and issues to customers.
  • Maintain damage records, backorder logs, and other operational documentation.
  • Provide warehouse personnel with the information and documentation necessary to support receiving, inventory, and shipping operations.
  • Serve as the primary liaison between customers, vendors, warehouse operations, and the office for order management, inventory, invoicing, and account-related inquiries.
  • Build and maintain strong relationships with customers, carriers, and other service providers.
  • Maintain inventory accuracy through system reconciliation, cycle counts, physical inventories, and accurate recording of inventory transactions in the WMS.
  • Investigate and resolve inventory discrepancies, analyze inventory trends, and communicate issues that may impact customer service or operational performance.
  • Monitor inventory levels and support inventory planning by identifying shortages, overages, obsolete stock, and other inventory risks.
  • Support customer inventory reporting requirements, audits, inventory reviews, and service level agreement (SLA) commitments.
  • Ensure compliance with customer requirements, inventory control procedures, Operational Process Standards (OPS), company policies, and applicable government regulations.
  • Verify proper labeling, storage, handling, and documentation of inventory to maintain product integrity and operational accuracy.
  • Participate in continuous improvement initiatives focused on inventory control, process efficiency, warehouse operations, and customer service.
  • Escalate operational, inventory, customer service, or compliance issues to management when appropriate.
  • Assist with special projects, research, filing, and other administrative duties as assigned.

Qualifications

  • Understanding transportation process of all models is a plus.
  • Good computer skills (e.g., MS Excel, MS Word).
  • Fluent in English.
  • 6 months to 1-year related experience and/or training; or equivalent combination of education and experience.
  • Excellent organizational skills, time management skills in addition to a professional manner.
  • Positive and willing to help attitude.
  • Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely obtain positive results.
