About the role
This position supports the Grounds Department functions and staff by providing general administrative support for the department. It serves as the initial department contact and resource of information regarding all inquiries, helping to resolve any problems as needed. This position effectively uses databases, documents, and spreadsheets to support the department operation and directors/supervisors. It helps monitor budget tracking and accounting as well as procurement activities for the department. It provides administrative assistance as an office manager by supporting the Assistant Director and Director in the department.
Responsibilities
- Supports the Assistant Director and Director in the department
- Provides general administrative support for the department
- Serves as the initial department contact and resource of information regarding all inquiries
- Resolves any problems as needed
- Uses databases, documents, and spreadsheets to support the department operation and directors/supervisors
- Maintains budget tracking and accounting as well as procurement activities for the department
- Supports the Assistant Director and Director in the department
- Manages office operations
- Prioritizes tasks and works independently
- Makes independent decisions and provides high level of attention to detail
- Organizes work to ensure timely delivery of services and support
- Manages office operations
- Manages contracts
- Manages supply inventory
- Uses Microsoft Office
- Formats and writes documents
Requirements
- Comprehensive knowledge of office practices, operations, and procedures as well as a basic understanding of accounting principles, budget management, and procurement
- Excellent oral and written communications skills
- Strong organizational and time management skills
- Demonstrated computer usage skills
- Demonstrated ability to manage office operations
- Demonstrated ability to prioritize tasks and work independently
- Demonstrated ability to make independent decisions and provide high level of attention to detail
- Demonstrated ability to organize work to ensure timely delivery of services and support
- Ability to make independent work flow and other decisions without supervision
- Ability to analyze and track budgets as well as procure supplies/services through government purchasing guidelines
- Skilled in the use of Microsoft Office
- Possess the knowledge of the responsibilities and operations of a Grounds Department at a university
Qualifications
- High school graduate or equivalent education/experience that equates to a high school diploma
- Valid driver’s license
- Experience with word processing software
- Experience with spreadsheet software
- Experience maintaining files, databases, or inventories in an office setting
