General Description
The Office of the Attorney General (OAG) is seeking an office professional to support the Communications, Legal Recruitment, and Legal Strategy Divisions. This position works closely with division managers to manage administrative tasks in a fast-paced environment.
Essential Position Functions
- Supports the Communications, Legal Recruitment, and Legal Strategy Divisions with administrative duties, to include:
- Submits procurement requests and manages purchase renewals
- Captures work-related travel and prepares travel vouchers and related documentation
- Manages division inventory and submits bi-monthly and annual reports
- Captures and maintains division’s official records in compliance with the agency’s Records Retention Schedule and records management requirements
- Orders and maintains division supplies
- Enters data pertaining to the agency law clerk program
- Affords assistance with personnel actions such as scheduling interviews and orientation for new employees
- Routes and coordinates external outreach requests
- Drafts and routes executive approval memos
- Attends office manager meetings and trainings
- May perform other related duties as required to meet the ongoing needs of the divisions
Qualifications
Executive Assistant II
- Education: Graduation from high school or equivalent
- Experience: Four years of full-time experience working in the following (or closely related) fields: legal assistant, office manager, executive assistant, project management and/or administrative support
- Knowledge: Microsoft Word and Teams, Outlook, Excel
- Skills: Attention to detail, strong organizational skills, multitasking and prioritizing responsibilities effectively, superior written and verbal communication skills, sound judgment, effective decision making, handling stressful situations, honesty, reliability, trustworthiness, respectfulness, professionalism, receiving and responding positively to direction and constructive feedback, cooperation, confidentiality, maintaining excellent punctuality and attendance, arranging for personal transportation for business-related travel, working more than 40 hours as needed and in compliance with the FLSA, lifting and relocating 30 lbs., traveling (including overnight travel) up to 5%
Executive Assistant III
- Additional Experience: Two (2) additional year of full-time experience working in the following (or closely related) fields: legal assistant, office manager, executive assistant, project management and/or administrative support
