Information Governance Specialist II

About the Role
This role supports the day-to-day operations of the Information Governance Operations team, responding to requests for files and information from attorneys and staff. Responsibilities include researching, locating, and retrieving files using manual and electronic resources. The position is based in the Houston office and may be eligible for a flexible hybrid schedule after an initial six-month in-office period (Monday through Friday).
Responsibilities
- Prepare new files both physically and within the records management system, ensuring correct data entry and identification for new records.
- Check out files to appropriate persons and track their location in the records management system.
- Perform file location audits and correct discrepancies between index entries and physical documents.
- Proactively review records management system content, recognize errors, and correct them.
- Demonstrate proficiency in records management system functions and department procedures, serving as a resource for other staff.
- Coordinate and perform box archiving and offsite storage procedures, handle incoming and outgoing files, and maintain consistency between vendor and firm databases.
- Process vendor invoices and organize large document collections in central filing areas and case rooms.
- Communicate with attorneys and paralegals to expedite destruction or transfer of dormant or closed cases to offsite storage.
- Assist with administrative tasks related to file releases, data access requests, and destructions.
- Protect and maintain highly sensitive, confidential, privileged, financial, or proprietary information.
Requirements
- Knowledge of information governance, data security, and privacy principles, with attention to detail in all work activities.
- Thorough understanding of the physical and electronic resources of the department and firm, including effective space management.
- Strong interpersonal skills to interact effectively with attorneys, management, support staff, and external contacts.
Qualifications
- A bachelor’s degree or equivalent; three years of relevant Information Governance or Records experience may substitute for a degree.
- A minimum of three years of experience in Information Governance or Records, preferably in a law firm.
- Experience in law firm, archival, or library research roles with significant document organizational responsibilities may substitute for direct Information Governance or Records experience.

Pay
USD $70,000.00 – USD $85,000.00 per year.
