Immigration Law Clerk

Suday Law, PLLC · Houston, TX · 1 wk ago
On-siteLegal$15–$18/hrFull-time

About the role

The Immigration Clerk is a dedicated case-support and operations resource for the firm's immigration practice. The Clerk handles the administrative work behind each case: mail, court packets, document processing, Docketwise documentation, and in-person court and agency tasks. The Clerk also serves as backup for the front desk. The role allows attorneys, caseworkers, the front desk, and executive support staff to stay focused on their primary responsibilities.

Responsibilities

  • Enter and update case information, activity, and notes in Docketwise accurately and on time.
  • Record client communications and ensure important information is documented in the correct file.
  • Scan, rename, and upload documents to the appropriate client files following firm naming and filing standards.
  • Follow up on and track pending items, deadlines, and case-related tasks assigned by attorneys or caseworkers.
  • Receive, sort, log, and distribute incoming mail, including court and agency correspondence, to the responsible attorney or caseworker.
  • Prepare, log, and send outgoing mail and deliveries.
  • Maintain a tracking system for mail, packets, and document movement.
  • Prepare court packets according to firm procedures and attorney instructions.
  • Assemble, organize, copy, and paginate documents; confirm completeness against checklists before submission.
  • Assist with filing-related administrative tasks under attorney or caseworker direction.
  • Serve as the designated person for routine in-person tasks at courts and immigration agencies, including filings, drop-offs, pickups, and document retrieval.
  • Communicate professionally with court and agency staff.
  • Report back promptly on outcomes and escalate any issues or unexpected developments.
  • Assist clients with routine, non-legal questions, document drop-offs, and requests for missing documents.
  • Follow up with clients to collect documents needed for their cases.
  • Direct clients to the appropriate attorney or caseworker.
  • Provide clients with administrative and procedural information only. The Clerk does not give legal advice.
  • Provide coverage when the front desk employee is unavailable, assisting another client, on the phone, or overloaded.
  • Greet and assist clients, receive documents, answer routine questions, take accurate messages, and help with mail.
  • Make sure information received at the front desk is documented properly.
  • Travel to the Katy office, courts, agency offices, or other locations to handle business-related tasks, so that executive support and other staff are not pulled away from their roles.
  • Handle time-sensitive deliveries, pickups, and errands.
  • Follow the firm's internal checklists and procedures for packets, mail, and DW documentation.
  • Identify and flag administrative errors, missing information, or process gaps.
  • Escalate legal, deadline-sensitive, or unclear matters to the appropriate attorney or caseworker rather than resolving them independently.
  • Over time, serve as a point person for administrative procedures: who to contact, how packets should be prepared, what must be documented in DW, where documents go, and what must be escalated.

Qualifications

  • Bilingual in English and Spanish
  • High school diploma or equivalent
  • Strong attention to detail and accuracy in data entry and documentation
  • Excellent organizational and time-management skills; able to manage multiple deadlines
  • Clear, professional written and verbal communication
  • Proficiency with Google Workspace and with scanning and document management
  • Valid driver's license, reliable transportation, and willingness to travel locally for court, agency, and office duties
  • Ability to maintain strict client confidentiality and exercise sound judgment with sensitive information
  • 1-2 years of prior experience in an immigration law firm
  • Familiarity with Docketwise or similar case management software
  • Familiarity with immigration court and USCIS filing and packet requirements
