IDOT Project Administrator
What You Will Do
GFT is seeking a Project Administrator to assist with the current program management responsibilities with the Illinois Department of Transportation (IDOT). The position is 40 hours a week with work both in the IDOT District One office located in Schaumburg, IL and remote.

What You’ll Be Challenged To Do
- Aid the utility coordinators with issuing utility permits, tracking permits, coordinating, and maintaining records.
- Report to the Utility Specialist who leads the Utility Unit in the Project Support Section in the Bureau of Design.
- Responsible for:
- E-Permitting
- 72 Hour Notice of Work Submittals
- Public Improvement (PI) Projects
- Inspections
- Record Retention
- Prepare/Send Work Order letters
- Review subpoena and claim requests for related issued utility permits or work, send related PDFs
- Afford assistance to IDOT maintenance yards with inquiries on issued permits and work

- Assist with responding to utility email questions
- Keep records on issued permits, extensions
- Send bi-annual D-1 E-Permitting procedure and updates on process for submitting agencies
- Provide training on e-permitting forms and procedure as needed
- Direct unanswered utility questions to appropriate individuals
- Answer calls on permitting and ROW information as needed.
Education | Experience
- High school degree
- 3-5 Years work experience in preparing letters and correspondence, tracking correspondence, and maintaining project records
- Proficient with word and excel
- Actively engages multiple perspectives when solving problems, seeks to learn from peers, and encourages reciprocal learning among team members

- Knowledge and familiarity within the transportation industry, specifically with public, department of transportation, railroad, port, aviation, transit and/or Federal clients
- Highly organized with an independent self-starting personality that is effective working independently and in a team environment
- Detail-oriented with excellent time management skills and the ability to multi-task and balance short-term deadlines against long-term goals
- Proven ability to work with multiple people in a persistent, tactful, and enthusiastic manner
- Excellent writing and verbal communication skills with a focus on attention to details
Pay
The salary range for this role is $35 - $45 per hour. Salary is dependent upon experience and geographic location.
