HVAC OPERATIONS COORDINATOR (UNION)
Position Location
This position is onsite at the MacDill AFB in Tampa, Florida.
Job Overview
The HVAC Operations Coordinator serves as the primary administrative and operational support professional for the HVAC Shop. This position coordinates daily work order administration, technician scheduling support, customer communications, equipment tracking, and operational reporting to ensure efficient execution of maintenance and service activities. The position serves as the central point of coordination between customers, technicians, supervisors, and other departments while maintaining accurate records, monitoring workflow, and supporting continuous process improvement.
Responsibilities
- Cook up and prioritize incoming HVAC service requests and work orders.
- Maintain and monitor work order status from initiation through completion utilizing NEXGEN and other maintenance management systems.
- Cook up daily workload with HVAC supervisors and technicians to maximize operational efficiency.
- Serve as the primary administrative liaison between customers, technicians, supervisors, subcontractors, and government representatives.
- Track labor utilization, work order completion, backlog, response times, and other operational performance metrics.
- Prepare daily, weekly, and monthly reports for management regarding shop productivity and workload.
- Monitor parts availability and coordinate with Supply, Procurement, and vendors regarding material status and expected delivery dates.
- Ensure customer requests are communicated promptly and provide status updates throughout the maintenance process.
- Maintain accurate equipment histories, preventive maintenance records, inspection documentation, and asset information.
- Review work orders for completeness, accuracy, and proper documentation prior to closure.
- Identify workflow inefficiencies and recommend improvements to enhance customer service and shop productivity.
- Aid the Infrastructure Systems Worker Manager with workload planning, scheduling priorities, and operational tracking.
- Generate reports utilizing Microsoft Excel, NEXGEN, and other company systems.
- Maintain confidential personnel, customer, and operational information.
- Perform other related duties as assigned.
Job Requirements
- Mandatory: High School diploma or equivalent.
- Minimum five (5) years of progressively responsible administrative, operations coordination, maintenance planning, customer service, or work management experience.
- Demonstrated experience coordinating maintenance or service operations.
- Advanced proficiency with Microsoft Office Suite, particularly Excel.
- Experience utilizing computerized maintenance management systems (CMMS), ERP systems, or similar work management software.
- Excellent organizational, analytical, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to coordinate multiple priorities while maintaining exceptional attention to detail.
- Valid state Driver’s License with an acceptable driving record pertinent to the position.
- Ability to successfully pass any background checks and drug screening.
- U.S. Citizenship.
Preferred
- Experience supporting HVAC, Facilities Maintenance, Public Works, or Construction operations.
- NEXGEN experience strongly preferred.
- Experience supporting Government contracts.
- Experience preparing operational metrics, dashboards, and management reports.
- Experience using Microsoft 365 applications including Excel, Word, Teams, SharePoint, Planner, and Power BI.
