About the Role

The Human Resources Representative plays a key role in supporting onboarding and operational HR processes for Professional Staff, including physicians, researchers, research staff, fellows, and residents. This position manages end-to-end onboarding activities, ensures compliance with institutional and regulatory requirements, and serves as a central liaison between new hires, department leadership, payroll, credentialing, and other internal partners. The role requires strong attention to detail, discretion, and the ability to manage multiple onboarding activities simultaneously.

Responsibilities

  • Department & Liaison Onboarding Support
    • Serve as primary liaison between hiring departments and new hires throughout the onboarding process.
    • Partner with departments to review offer letters and CVs for accuracy and compliance.
    • Discuss hiring issues with departments: expedited hires, visa delays, job profiles, and salary determinations.
    • Educate departments on onboarding processes and timelines.
    • Verify that salaries meet Postdoctoral PGY guidelines for incoming hires.
    • Conduct education verification when HireRight cannot be completed, including:
      • Reviewing Diploma
      • Reviewing and interpreting international degrees
      • Collecting and validating education verification letters from Registrar’s office
  • Pre-Boarding & Onboarding
    • Collect and review all required new hire documentation, including offer letters, new hire forms, CVs, and IDs.
    • Coordinate CORI and national background checks (HireRight).
    • Manage the I-9 process, including document review, completing forms, and meeting with incoming employees.
    • Ensure completion of Occupational Health clearance prior to start date.
    • Send welcome emails to new hires and serve as an onboarding point of contact.
    • Enroll hires for New Hire Orientation.
    • Prepare staff appointment letters for non-clinical MGPO staff.
  • Workday Responsibilities
    • Create and manage requisitions in Workday, confirming accuracy of supervisory organizations, job profiles, and replacement versus new position details.
    • Initiate applications for new hires and follow up to ensure timely completion.
    • Process and complete hiring transactions in Workday.
    • Communicate record status updates to departments and email employee usernames and IDs.
    • Maintain ongoing communication with departments and new hires to ensure readiness for the designated start date.
  • Miscellaneous & Operational Support
    • Conduct internal I-9 audits.
    • Troubleshoot onboarding and access issues, including system logons and general employee or department inquiries.
    • Manage AskMyHR sites and the onboarding website for new hires.
    • Triage and resolve complex cases involving visas, Workday issues, and supervisory organizations.
    • Maintain Access databases containing new hire information.
    • Monitor and manage the general onboarding inbox, ensuring timely responses.
  • Appointments, Compliance & Documentation
    • Support staff appointment process in accordance with the bylaws of the Professional Staff of the General Hospital.
    • Review, verify, and maintain sensitive employee and applicant documentation in secure databases.
    • Respond to verification of employment and staff appointment requests.

Qualifications

  • Bachelor’s degree preferred.
  • Prior experience in HR, onboarding, or administrative support preferred.
  • Experience working with Workday and Beeline platforms is a plus.

Skills & Competencies

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • High level of attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Outlook, Excel, and other standard office applications.
  • Familiarity with employment eligibility requirements and immigration documentation (e.g., I-9 process, work authorization visas) preferred.
  • Ability to work independently while contributing effectively as part of a team.
  • Strong customer service skills.

Schedule

  • Hybrid model: Monday–Friday, Eastern Business Hours (8:00 AM–4:30 PM ET).
  • Onsite 1–2 times per month for meetings or trainings at Assembly Row, Somerville.
  • A quiet, secure, compliant workspace is required for remote workdays and will be confirmed via Microsoft Teams Video on day 1 for all remote hires.
  • HR will ensure candidates have a HIPAA-compliant workspace (a dedicated, private workspace with a lockable file cabinet, free from distraction and separate from others).
  • Scheduled weekly hours: 40.

Pay

Pay range: $19.81 – $28.30/hour (Grade 3). At Mass General Brigham, base pay is determined by skills, relevant experience, education, certifications, and other essential factors. The provided range is an estimate based on minimum job qualifications.
