What You’ll Get to Do

  • Recruiting
    • Manage the full recruiting cycle: partnering with hiring managers on job descriptions and candidate profiles, drafting and posting job openings, sourcing, screening resumes, conducting initial phone screens
    • Coordinate interviews and keep candidates and hiring managers moving through the process
    • Manage our applicant tracking system and keep the pipeline clean and up to date
    • Prepare offer letters and coordinate pre-hire steps and onboarding handoff
    • Keep hiring managers informed with regular pipeline updates
  • HR
    • Run onboarding and offboarding for employees (offer paperwork, I-9s, new hire packets, orientation, separation documentation)
    • Maintain and update employee records with accuracy and confidentiality
    • Support payroll and timekeeping administration (verifying timesheets, tracking PTO, coordinating approved employee changes with payroll provider)
    • Answer employee questions on benefits and process benefits paperwork
    • Handle employment verifications and respond to state/agency correspondence (e.g., unemployment claims)
    • Help maintain HR processes in compliance with labor laws and company policies, and document and standardize procedures as the company grows
  • Administrative & Operations Support
    • Support calendars and scheduling for leadership and the team as needed
    • Cookordinate employee and contractor travel arrangements (flights, hotels, itineraries) in accordance with company policy and approved budgets
    • Maintain HR and administrative records, correspondence, recurring documentation, and other business support items
    • Review expense documentation for completeness and follow up on missing support before submission to Finance
    • Keep shared documents, templates, and trackers organized and up to date
    • Identify routine HR and administrative processes that can be appropriately transitioned in-house, and pitch in on other projects and tasks as needed (small team, we all do a bit of everything)

    Requirements

    • 3+ years of HR, business operations, or recruiting experience in a professional office environment
    • Hands-on recruiting and HR administration experience: you've posted roles, screened candidates, coordinated interviews, and supported employee onboarding before
    • Professional polish: you're comfortable communicating with candidates, leadership, vendors, and outside agencies, and you represent the company well
    • Strong organization and time management, nothing slips through the cracks
    • High level of discretion handling sensitive and confidential information
    • Solid written and verbal communication skills
    • Proficiency with Microsoft Office (Word, Excel, Outlook)
    • Self-starter who works well independently without heavy oversight

    Qualifications

    • Nice to have: Experience at a small company or startup where you wore multiple hats
    • Nice to have: Experience with an applicant tracking system (we use Recruitee)
    • Nice to have: Hands-on experience with payroll or benefits administration
    • Nice to have: Experience in government contracting, aviation, defense, or another regulated environment
