About the role

A detail-oriented Human Resources (HR) Administrator to support daily HR operations for an organization in Novato, California. This long-term contract position plays a key role in coordinating employee documentation, administrative processes, front-desk support, and training-related activities while maintaining a high level of professionalism and confidentiality. The ideal candidate is organized, responsive, and comfortable managing multiple priorities in a team-focused environment.

Responsibilities

  • Coordinate the distribution of required labor law notices and support annual HR policy acknowledgment tracking to help maintain compliance.
  • Assemble and prepare employee documentation for onboarding, benefits enrollment, orientation, and separation processes with accuracy and timeliness.
  • Maintain internal HR records and resources, including organizational charts, storage files, and off-site document archiving activities.
  • Oversee administrative fulfillment for employee materials and recognition items such as branded apparel, name badges, business cards, service awards, and anniversary gifts.
  • Process department invoices, expense reports, retiree coverage payments, and benefits-related reconciliations while assisting with audits and billing reviews.
  • Provide administrative support for HR and training initiatives by updating presentation materials, tracking external training activity, and helping coordinate departmental events such as the annual health fair.
  • Manage front desk operations by greeting visitors, directing calls, handling incoming mail and deliveries, and ensuring daily reception procedures are completed.
  • Arrange meeting spaces and help prepare common office areas with necessary supplies, refreshments, and materials for training sessions, staff meetings, and board meetings.
  • Monitor shared communication channels such as suggestion and question submissions, and respond or route items appropriately while supporting additional HR projects as needed.

Requirements

  • At least 2 years of experience in human resources administration or a closely related administrative support role.
  • Working knowledge of HR practices, procedures, and documentation standards within a detail-focused office environment.
  • Experience handling sensitive employee information with discretion, sound judgment, and confidentiality.
  • Strong written and verbal communication skills, with the ability to interact effectively with employees, visitors, and external contacts.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Access, and confidence using standard PC-based systems.
  • Ability to organize multiple tasks, prioritize deadlines, and work effectively with limited day-to-day supervision.
  • Familiarity with HR support functions such as legal forms, background checks, benefits administration, and business correspondence.
  • Collaborative mindset and the ability to contribute positively in a team-oriented workplace.
