Key Responsibilities
- HR Operations & Administration
- Design, implement, and continuously improve foundational HR policies, procedures, and workflows.
- Maintain accurate and compliant employee records and HR documentation.
- Manage and optimize HR systems, employee data, and reporting processes.
- Serve as the primary point of contact for all employee-related HR matters.
- Compliance & Risk Management
- Ensure compliance with all federal, state, and local employment laws and regulations.
- Maintain compliance with FLSA, FMLA, ADA, ACA, COBRA, EEOC, OSHA, and other applicable regulations.
- Manage HR audits, reporting requirements, and regulatory filings.
- Monitor changes in employment legislation and recommend policy updates as needed.
- Oversee I-9 compliance, personnel file management, and record retention practices.
- Payroll Administration
- Own the end-to-end payroll process for multi-state employee populations.
- Ensure accurate payroll processing, tax withholding, wage garnishments, deductions, and reporting.
- Maintain expertise in multi-state payroll tax compliance and employment regulations.
- Partner with Finance to reconcile payroll-related data and ensure payroll accuracy.
- Manage payroll audits and maintain compliance with payroll tax requirements.
- Benefits Administration
- Administer all employee benefit programs, including medical, dental, vision, life insurance, disability plans, retirement programs, and voluntary benefits.
- Manage annual open enrollment processes and employee benefit communications.
- Serve as the primary liaison with benefit brokers, carriers, and vendors.
- Resolve employee benefit inquiries and issues promptly.
- Monitor benefit utilization, costs, and compliance requirements.
- Employee Lifecycle Management
- Own and manage all onboarding activities, ensuring a seamless new-hire experience.
- Career coordination, required documentation, training, and system access.
- Lead all offboarding processes, including exit interviews, final pay coordination, benefits transitions, and system termination.
- Maintain employee status changes, promotions, transfers, compensation changes, and organizational updates.
- Process Development & Continuous Improvement
- Build scalable HR infrastructure and foundational processes that support company growth.
- Create reporting dashboards and workforce metrics to support leadership decision-making.
- Identify opportunities to improve efficiency, employee experience, and compliance.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 5 years of experience administering employee benefits programs.
- Minimum of 5 years of payroll administration experience.
- Demonstrated expertise in multi-state payroll tax compliance.
- Experience independently managing HR operations.
- Strong working knowledge of employment law and HR compliance requirements.
- Experience with HRIS and payroll systems.
- Proven ability to build and implement HR processes from the ground up.
- Strong organizational, communication, and problem-solving skills.
- Ability to handle confidential information with discretion and professionalism.
Preferred Qualifications
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification.
- Experience in a fast-growing or multi-state organization.
- Experience leading HR audits and regulatory compliance initiatives.
- Advanced knowledge of payroll, benefits, and HR technology platforms.
