We are looking for a Human Resources Coordinator to provide onsite support and act as the liaison to managers and employees at our Palm Bay, Florida facility and the broader HR team. You’ll contribute significantly to the organization's growth and serve as a trusted advisor to the onsite team.

Responsibilities

  • Onboarding and Offboarding Support: Conduct final interviews, support first-day orientation for on-site new hires, and ensure all required paperwork and processes are completed.
  • Health & Safety Partnership: Partner with the Health & Safety team to conduct risk assessments, advise employees on accident reporting procedures, assist with investigations, and address near misses. Work with HR leadership to recommend corrective actions. Administer occupational health and safety programs, coordinate employee safety training, maintain compliance documentation, and monitor regulatory requirements. Promote a safety-conscious work environment through communication, compliance monitoring, and partnership with site leadership.
  • Administrative Compliance: Ensure compliance with labor laws and company policies. Organize employee records, maintain confidentiality of sensitive information, provide fleet training for new hires, and update driver information in the system. Conduct annual driving record checks for employees with company vehicles.
  • Employee Support: Act as a liaison between employees, managers, and HR by connecting them with resources, programs, and personnel to address HR-related needs. Serve as the first point of contact for inquiries and workplace concerns, ensuring proper documentation and escalation to HR leadership when necessary.
  • HR Administrative Tasks: Reconcile expenses, schedule exit interviews, track relocation expenses, prepare employee job and pay progressions (offer letters), employment verification letters, and termination checklists. Track employee anniversaries, assist with local office engagement duties, and complete education assistance reimbursement paperwork. Support corporate fleet administration by coordinating DMV transactions for company-owned assets, including in-person visits to submit documentation and retrieve registrations. Perform other duties as necessary.

Requirements

  • 5+ years of experience in an administrative function supporting HR or a similar role.
  • Effective written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently with minimal supervision.
  • Initiative: Demonstrated track record of initiating and successfully implementing projects or ideas.
  • Strong interpersonal skills with the ability to work with a variety of individuals and departments.
  • Required to work onsite in the Palm Bay office 50% of the time (equivalent of 5 days per 2 weeks).

Preferred Qualifications

  • Health & Safety experience in a distribution, manufacturing, or similar environment.
  • Knowledge of federal and state labor laws.
  • Previous HR generalist or HR Business Partner experience.
  • Diploma in Human Resources Management or a related field.
