Job Summary
The HR Assistant supports the daily operations of the Human Resources department and plays a key role in fostering a positive, organized, and efficient workplace. This position assists with recruiting, onboarding, employee records, compliance tasks, and general administrative support.
Essential Functions
- Maintain accurate and up-to-date HR files, records, and documentation.
- Oversee onboarding tasks such as collecting and verifying new hire paperwork, including I-9s and tax forms.
- Serve as a trusted resource for employee questions related to policies, benefits, and HR processes.
- Support the HR department in conducting regular audits to ensure all required documents are complete and compliant.
- Provide clerical and administrative support to the HR department.
- Prepare HR correspondence, forms, and internal communications.
- Aid in payroll processing, employee questions, and error resolution.
- Serve as a liaison with benefits providers and external HR vendors.
- Conduct or assist with new hire orientation.
- Assist with performance management processes, including reviews and documentation.
- Support planning and executing of HR events and company activities.
- Collaborate with HR department in recruitment processes, including supporting with candidate screening as needed.
- Help with benefits administration tasks, open enrollment materials, and employee notices.
- Participate in HR training and continuing education to maintain compliance knowledge.
- Support HR projects as needed.

Requirements
- Core Competencies: Strong verbal and written communication skills; excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy; excellent organizational skills and attention to detail; proficient with Microsoft Office Suite or related software; collaborative and self-motivated, with a proactive approach to problem-solving; proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
- Qualifications: Associate’s degree in related field required; Bachelor’s degree preferred; prior related office experience preferred; 1-2 Years of Human Resources Required; proficiency in Microsoft Office Suite; familiarity with Paylocity is a plus; bilingual (English/Spanish) required.
Work Environment
This position is fully on-site at our main office located in Hawthorn Woods, IL. The person in this role is expected to commute to the office daily and maintain a consistent in-person presence.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
