Duties and Responsibilities
Reporting to the Assistant Vice President for Human Resource Services, the Operations Specialist provides comprehensive, confidential executive-level administrative, operational, project, and communications support. Serves as a trusted partner to the Assistant Vice President by managing executive operations, coordinating strategic initiatives, overseeing department communications, and supporting the efficient administration of Human Resource Services (HRS).
- Manages the Assistant Vice President's calendar, coordinates meetings and special events.
- Maintains budget and purchasing activities.
- Serves as a central point of coordination for Human Resource Services, ensuring operational efficiency while maintaining discretion in handling confidential information.
- Maintains broad knowledge of Human Resource Services functions, applicable employment regulations, CSU policies, collective bargaining agreements, and campus procedures.
- Conducts research, analyzes data, develops recommendations, and supports division-wide initiatives.
Essential Qualifications
- Bachelor’s degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices, or programs.
- Two years of related experience.
- Working knowledge of and the ability to apply standard theories, principles, practices, techniques applicable to the program or administrative specialty.
- Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty.
- Working knowledge of operational and fiscal analysis and techniques.
- Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
- Skilled in research, development, and evaluation of policies and programs.
- Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations.
- Expertise investigating and analyzing problems with broad administrative impact and implications.
- Ability to anticipate problems and address them proactively.
- Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
- Ability to train others on new skills and procedures and provide lead work direction.
Preferred Qualifications
- Skilled in leading, training, and mentoring administrative staff, student employees, and volunteers.
- Proficiency in current word processing, spreadsheet, and relevant software applications.
- Ability to handle confidential and sensitive information with discretion and maintain strict confidentiality.
- Ability to work independently and as part of a team and build relationships with various stakeholders.
- Flexibility to adapt to changing priorities and deadlines.
