Human Resource Associate & Payroll Admin (Full-Time Non-Exempt)
About the role
The Human Resources Associate and Payroll Administrator position presents a unique opportunity for an individual with exceptional attention to detail, a strong process orientation, excellent customer service skills, and a dedication to serving the unique mission of the YMCA of Central Massachusetts. The successful candidate will work closely with the Executive Director - People Practices and the Finance Department, supporting over 800 employees who work and live in the communities that we serve.
Reporting to the Executive Director - People Practices and working closely with hiring directors and supervisors, you will play a crucial role in identifying staffing needs and creating plans for hiring talent. As part of a collaborative team, you will post and communicate job opportunities, perform payroll and finance-related functions, and maintain confidentiality and discretion under tight deadlines.
Responsibilities
- Work with the Executive Director - People Practices, hiring directors, and supervisors to understand staffing needs and develop plans for hiring talent.
- Partner with the Executive Director - People Practices and directors to develop and implement strategies related to employee recruitment, retention, and organizational culture.
- Post and communicate job opportunities on job boards and social media.
- Source, screen, and partner with hiring directors/supervisors to select final candidates.
- Oversee the recruitment process; assist hiring directors/supervisors with job requisitions.
- Oversee the preparation, implementation, and training of the Applicant Tracking System (ATS) via Paylocity, including providing job descriptions, posting content, and other required data.
- Provide reporting on the current recruitment status by position to the Executive Director - People Practices, other executive leadership, and hiring directors regularly.
- Oversee the new hire onboarding process, monitor the completion of documentation, and communicate with directors/supervisors and staff to ensure timely completion of paperwork.
- Operate with a sense of urgency and provide guidance on recruiting and payroll processing.
- Work with the Executive Director - People Practices, directors, and team members to ensure that staff members are onboarded and offboarded in a timely and efficient manner.
- Advise team members on questions regarding HR onboarding, recruitment, and payroll policies, processes, and practices.
- Travel locally within the Central Massachusetts area occasionally to meet with hiring directors and external recruiting contacts, attend career fairs, and other events. Some meetings may be conducted at night, on weekends, and virtually.
- Advise the Executive Director - People Practices and necessary management on issues related to employee relations, including providing constructive feedback.
- Support a positive working environment, coach and support employees.
- Handle HR administrative responsibilities, including responding to employee inquiries, maintaining employee files, and ensuring compliance.
- Perform necessary payroll and finance-related functions to ensure high-quality internal operations for the association.
- Maintain accurate and up-to-date human resource files, records, and documentation.
- Review time and attendance data, as well as various payroll edit reports, for completeness and accuracy; communicate with branch staff about any missing items.
- Process payroll; perform account reconciliations and general ledger support for payroll transactions.
- Assist directors and branch staff with payroll issues; facilitate employee understanding of payroll procedures.
- Support any other special projects as needed.
Requirements
- High school diploma or GED. A Human Resources certificate or undergraduate degree in Human Resources or Business is preferred.
- A minimum of 5 years of work experience in Human Resources, including Talent Acquisition/Recruitment and Payroll Processing.
- Direct experience working with Paylocity HRIS preferred.
- Ability to produce written communications, including correspondence, employment postings, processes, and policies.
- Experience developing training series using a variety of formats.
- Proficient in Microsoft Suite, Adobe Creative Suite, PowerPoint, and Outlook.
- Experienced in utilizing job boards and posting job opportunities on social media platforms (e.g., Indeed, LinkedIn, etc.).
- Highly skilled in generating reports, organization, scheduling and/or coordinating events, and interpersonal (written and verbal) communication.
- Detail-oriented with a high degree of accuracy.
- Flexible, with excellent time management work habits, able to prioritize multiple tasks, and meet tight deadlines.
- Ability to travel within the local area.
- Strong work ethic and ability to work independently or in a team environment.
- Ability to exercise high levels of discretion and confidentiality.
- Ability to develop positive working relationships with employees at different levels of the organization.

Schedule
Mondays through Fridays from 8:30 am to 5:00 pm with flexibility to work occasionally during evenings and weekends for meetings or events.
Pay
$26.44 per hour
