XEN Systems is a HubSpot consultancy based in Sydney, Australia. We focus on improving business processes, incorporating automation and attribution, with an integrated approach to help companies reach, engage and convert their target customers.

About the role

We're looking for a HubSpot Specialist to join our remote team. This is a full-time position where you’ll work closely with an experienced team of HubSpot consultants to manage projects, optimise client HubSpot portals, and implement marketing campaigns. You’ll have the opportunity to grow your role, learn new skills, and work autonomously while contributing to client success.

Responsibilities

  • Project management and team coordination using the HubShots Framework to optimise client HubSpot portals
  • Analysing and optimising HubSpot campaigns, ensuring proper tracking, and reporting on results and insights
  • Planning and executing new campaigns, including landing pages, workflows, emails, forms, and CTAs
  • Presenting insights, trends, and opportunities for improvement to clients
  • Managing sales processes, pipelines, ticket pipelines, and client surveys
  • Handling admin tasks such as client marketing reports and timesheet tracking
  • Working with tools like Google Analytics, Google Tag Manager, and social management platforms
  • Coordinating tasks with graphic designers, marketing managers, and ads specialists
  • Organising and delegating tasks in Teamwork project management system
  • Preparing and analysing client reports using HubSpot dashboards and reports

Requirements

  • Strong HubSpot skills across Marketing Hub, Sales Hub, and Service Hub, including:
    • Marketing Hub: Social, Ads, Lists, Emails, Forms (regular and popup), CTAs, Workflows, Landing Pages, Dashboards, and Reports
    • Sales Hub: Sales pipelines, Sequences, Dashboards, Reports, Goals, and Forecasting
    • Service Hub: Ticket pipelines, Automation, Surveys, Dashboards, Reports, Inboxes, and Helpdesk
  • Experience working in-house on HubSpot or for a HubSpot agency
  • Excellent communication skills for internal team collaboration and client interactions
  • Strong time management and organisational skills
  • Self-motivated and able to work remotely with minimal supervision
  • Professional setup for video calls (clean background, good lighting, minimal noise)
  • Reliable device and internet connection for productivity and high-quality output
  • Mandatory availability from 10 am - 5 pm Sydney time on weekdays (flexible start/end outside core hours)
  • Strong knowledge of Google Docs and Google Calendar
  • Basic understanding of Google Analytics, Google Tag Manager, Google Ads, and Facebook Ads
  • Knowledge of SEO and marketing strategies is a bonus

First Three Weeks

Your first three weeks will serve as an onboarding and probationary period:

  • Week One: Complete onboarding for Slack, Teamwork, Google Calendar, and XEN’s HubSpot portal. Shadow team members during client calls to learn processes.
  • Week Two: Begin attending client meetings and handling basic HubSpot tasks.
  • Week Three and onwards: Take on more client and project responsibilities, working autonomously with minimal supervision.

At the end of three months, a performance review will determine your continued employment.
