Responsibilities

  • Maintain HSE records, logs, and databases, including training records, incident reports, inspection checklists, safety data sheets, and permits.
  • Maintain HSE contractor management platforms, including ISNetworld, Veriforce, PEC, and Avetta.
  • Track required safety training and certifications, sending reminders ahead of renewals and expirations.
  • Schedule and document safety meetings, toolbox talks, and site inspections.
  • Support incident and near-miss reporting, including data entry and follow-up on corrective action status.
  • Coordinate post-accident drug screen scheduling.
  • Help prepare materials for internal and external HSE audits.
  • Assist with regulatory recordkeeping, such as OSHA 300 logs, under the guidance of HSE staff.
  • Prepare routine reports and metrics summaries for HSE leadership.
  • Support new-hire HSE onboarding documentation and general department administration, including filing, correspondence, and scheduling.

Requirements

  • High school diploma or equivalent.
  • 1-3 years of administrative experience supporting an HSE, EHS, or compliance function.
  • Strong organizational skills and close attention to detail.
  • Proficient in Microsoft Office, including Excel, Word, and Outlook.
  • Clear, professional written and verbal communication skills.
  • Comfortable working in an industrial or manufacturing environment and interacting with field and shop personnel.

Preferred Qualifications

  • Associate degree or relevant coursework in occupational health & safety.
  • Familiarity with OSHA recordkeeping requirements.
  • Experience with EHS software or database systems.
