Job Summary And Purpose
The HR Representative – Compliance will assist with updating and maintaining a compliance program providing legal/regulatory/contract compliance oversight.
Duties And Responsibilities
- Compliance Tasks
- Update and maintain systems and processes to ensure continuous contractual and grant HR requirements compliance, including reviewing grants with Manager - HR Compliance and HR Service Teams, and assisting with the coordination of program audits
- Update systems, policy, procedures, and postings to ensure compliance and audit readiness at direction of Manager - HR Compliance and HR Service Teams
- Ensure systems for compliant employee records and timely responses for legal actions, such as record requests
- Collaborate with Manager - HR Compliance and HR Service Teams to update process, procedure and forms to ensure compliance with all grants and contracts for employment related requirements, assists with identification of process improvement needs
- Lead and oversee the volunteer orientation and program
- Partner with Manager - HR Compliance and HR Service teams to coordinate audits (internal and funder required), ensuring timely submission of all employment required documents, works directly with all department team members as needed
- Record notes from audits for future improvements and creating action plans (with accountability) for implementation with the responsibility to ensure the improvements occur for VOALA, SCADP, and affiliates in both process and documentation
- Maintain policy library as directed
- Wage and Hour Compliance
- Gather data in the areas of meal and rest period requirement compliance, report findings to PRP Team
- Identify opportunities for leadership education around wage and hour, works with program leadership to clarify policy around attendance, PRP team to escalate cases
- Provide regular reports to PRP team on wage and hour findings and recommendations
- Assess gaps and opportunities for improvement of policies and processes relating to HR compliance and recommend practical solutions for VOALA, SCADP, and affiliates
- Identify areas of improvement and partners with Manager - HR Compliance and HR Service team to development and implementation
- Ensure timely communication and dissemination of directed changes; partners with Orientation and On-boarding team to ensure quality dissemination of policy information to all employees, interns, and volunteers for VOALA, SCADP, and affiliates
Essential Duties
- An essential function of this position requires incumbents to report to the office
- Performs compliance and program audits; lead audits required by funders for employment matters
- Wage & Hour Compliance – Gather Data for ER team
- Monthly Audit of Overtime and Meal/Rest Period compliance, conduct analysis, draft report, make recommendations and follow-up
- Work with ER team to develop programs and processes to achieve higher regulatory compliance
- Communicate with program leadership and Payroll/Accounting departments
- Provides ad hoc analytic reports as needed for employment compliance matters
- Other duties as required and may be subject to change
Mandated Reporter
As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.
Qualifications
- Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
- Education: Bachelor's Degree or equivalent combination of education and work experience (4 years of relevant experience / coursework)
- Experience: Minimum three years of Human Resources related experience. Minimum one year's direct hands on experience in onboarding, offboarding, and employee documentation compliance, experience leading projects under leadership direction.
Preferred Qualifications
- Previous experience using HRIS software and attendance software is preferred
- Some Payroll related experience is preferred
- Familiarity with the non-profit employer industry is a plus
- Knowledge and experience with UKG and timekeeping systems
Pay
$35.70 - $37.58 Per Hour
