HR Office & Administrative Specialist
About the Role
The HR & Office Administrative Specialist will coordinate and complete a wide range of general administrative tasks, working with multiple departments and supervisors to meet calendar deadlines. This position requires a highly organized individual who can adapt to changing workflows and interact effectively with diverse personalities.
Responsibilities
- Coordinate food and lunches for team meetings, special events, and corporate departments, including ordering, stocking, and maintaining supplies.
- Maintain coffee, snacks, and general food housekeeping.
- Keep phone and sign-in sheets current.
- Order and stock office supplies, maintain an orderly supply closet, and restock first aid boxes and restroom supplies.
- Manage mail and package handling: open, meter, and process FedEx/UPS shipments; schedule pick-ups or deliveries.
- Hold keys and manage the company vehicle maintenance schedule.
- Maintain and update key documents on the company intranet, seeking relevant content for updates.
- Assist in proofing, printing, and collating Board Packs and other presentations.
- Manage building access and badge maintenance.
- Coordinate recycling vendors and office design projects, including ordering furniture and scheduling installations/moves.
- Archive and organize shared company files.
- Provide executive support for travel, scheduling, expenses, and other task items.
- Offer shared service support for all HR team members.
Requirements
- High attention to detail and strong organizational skills.
- Ability to prioritize tasks and work independently while handling multiple assignments.
- Flexibility to adjust work schedules to accommodate team needs.
- Strong teamwork and collaboration skills.
- Resourcefulness and adaptability when encountering obstacles or changing conditions.
- Proficiency in Microsoft Word, Excel, PowerPoint, and internet applications.
Qualifications
- Associate’s degree or higher in Human Resources or a related field (preferred but not required).
- 2+ years of experience as an Administrative or Office Assistant in a corporate office setting.

Pay
Annual salary range: $50,000–$55,000, depending on experience.
Schedule
Full-time, nonexempt position.
