Job Summary and Purpose
The HR Associate II – Compliance will assist with maintaining a compliance program providing legal, regulatory, and contract compliance oversight.
Responsibilities
- Compliance Tasks
- Assist with maintaining systems and processes to ensure continuous contractual and grant HR requirements compliance, including reviewing grants with Manager - HR Compliance and HR Service Teams.
- Update systems, policies, procedures, and postings to ensure compliance and audit readiness at the direction of Manager - HR Compliance and HR Service Teams.
- Ensure systems for compliant employee records and timely responses for legal actions, such as record requests.
- Partner with leadership to oversee the volunteer orientation and program.
- Coordinate and audit (internal and funder-required), ensuring timely submission of all employment-required documents to funders, including submissions and working directly with all department team members as needed.
- Maintain policy library as directed.
- Wage and Hour Compliance
- Gather data in the areas of meal and rest period requirement compliance; report findings to the PRP Team.
- Identify opportunities for leadership education around wage and hour; work with the PRP team to escalate cases.
- Provide regular reports to the PRP team on wage and hour findings and recommendations.
- Assess gaps and opportunities for improvement of policies and processes relating to HR compliance and recommend practical solutions for VOALA, SCADP, and affiliates.
- Identify areas of improvement and partner with Manager - HR Compliance and HR Service team to develop and execute solutions.
- Ensure timely communication and dissemination of directed changes; partner with Orientation and On-boarding team to ensure quality dissemination of policy information to all employees, interns, and volunteers for VOALA, SCADP, and affiliates.
- Essential Duties
- Report to the office as an essential function of this position.
- Assist compliance and program audits as required by funders for employment matters.
- Conduct monthly audits of overtime and meal/rest period compliance, analyze data, draft reports, make recommendations, and follow up.
- Work with the ER team to develop programs and processes to achieve higher regulatory compliance.
- Communicate with program leadership and Payroll/Accounting departments.
- Provide ad hoc analytic reports as needed for employment compliance matters.
- Perform other duties as required and may be subject to change.
- Mandated Reporter
As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters and must report any instance of physical or sexual abuse to proper authorities.
Requirements
- Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment, and education verifications.
- Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients, as VOALA serves the neediest individuals, which may include those with homelessness, mental illness, substance abuse, or recent incarceration.
Qualifications
- Education: Bachelor’s Degree or equivalent combination of education and work experience (4 years of relevant experience/coursework).
- Experience: Minimum three years of Human Resources-related experience. Minimum one year of hands-on experience in onboarding, offboarding, and employee documentation compliance.
Pay
$32.58 - $34.29 per hour.
