About the role
Empathy Hands Home Care is seeking a compassionate, organized, dependable, and customer-focused Home Care Scheduler to join our growing team. This position is critical to ensuring our clients receive exceptional care by coordinating caregiver schedules, maintaining positive relationships with caregivers and families, and responding quickly to staffing needs. The Scheduler is often the first point of contact for our clients and caregivers. We are looking for someone who is compassionate, solutions-oriented, and committed to delivering exceptional customer service while supporting our mission of providing high-quality home care.
Schedule
Approximately 25 hours per week, with flexibility to work occasional evenings and weekends as needed. In-office position located in Santa Clarita, CA.
Essential Job Responsibilities
- Coordinate daily caregiver schedules to ensure uninterrupted client care.
- Match caregivers with clients based on care needs, availability, skills, and compatibility.
- Respond promptly to caregiver call-offs, schedule changes, and urgent staffing needs.
- Communicate professionally and respectfully with clients, families, caregivers, referral sources, and office staff.
- Maintain accurate scheduling records, documentation, and employee files.
- Verify caregiver availability, credentials, and compliance before assigning shifts.
- Assist with onboarding coordination and administrative office support.
- Monitor open shifts and proactively secure coverage.
- Maintain confidentiality and comply with HIPAA, company policies, and applicable federal and California employment laws.
- Perform other administrative duties as assigned.
Minimum Qualifications
- Minimum three (3) years of experience in scheduling, staffing coordination, customer service, healthcare, home care, or a related administrative role.
- Associate degree or some college coursework preferred. Equivalent relevant work experience will be considered.
- Home care scheduling experience is strongly preferred.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and the ability to quickly learn scheduling software and electronic record systems.
- Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information professionally.
- Reliable, dependable, punctual, and detail-oriented.
- Ability to work independently while collaborating effectively with a team.
- Willingness to learn, accept feedback, and adapt to changing priorities.
- Ability to work occasional evenings and weekends as business needs require.
- Reliable transportation and the ability to report to the Santa Clarita office as scheduled.
- Bilingual (English/Spanish) preferred.
