Job Summary
Performs clerical/scheduling activities that facilitate Agency operations. These activities include coordination of employee schedules with client wants/needs, processing intake information, and communication with referral sources. Must demonstrate flexibility, including the ability to provide in-home services to clients when homemaker coverage is not available.
Responsibilities
- Maintains schedule for services requested and provided to agency clients.
- Affirms that cases are filled within established time.
- Completes documentation per Agency.
- Provides appropriate notification of schedule to employees, clients, family, case manager, and others as needed.
- Monitors overtime and mileage records of employees.
- Responds to emergency calls and arranges schedule.
- Provides directions to direct care employees and communicates with supervisors as needed to assure safe and effective coverage of client.
- Sends out care plan and follows up on service.
- Affirms employees receive complete and accurate directions and information about client needs.
- Reports any scheduling changes and/or client concerns to supervisor.
- Notifies clients of changes and monitors employee performance in areas of dependability, responsiveness, timeliness, and client concerns.
- Participates in the evaluation and performance review of field staff including discipline and termination.
- Follows up with employees on scheduling problems encountered by the on-call.
- Participates in determining hiring.
- Maintains adequate numbers of available on-call staff.
- Notifies Supervisor/Human Resource Department of staff.
- Met with HR and Agency Manager to anticipate needed coverage (new clients’ increased needs).
- Maintains confidentiality in all aspects of the job.
- Shares information in accordance with Agency policy.
- Protects documents in a manner that prevents unauthorized access.
- Meets compliance with applicable state, federal, CHAP, and Joint Commission regulations.
- Attends meetings and educational programs as required.
- Accepts responsibility for personal and professional development.
- Participates in the Agency’s ongoing quality improvement.
- Completes all mandatory and regulatory training programs.
- Performs other duties as assigned.
Qualifications
- Demonstrates strong verbal, written and interpersonal communication skills.
- Computer literate or willing to be trained on a personal computer.
- Speaks, reads, writes, and comprehends English.
- Demonstrates time management, organizational skills, and ability to function with minimal supervision.
- Comfortable working in an evolving and dynamic environment.
- Demonstrate ability to work with multiple different client types.
- Educational Requirements: High school graduate; advanced education preferred.
- Experience: Current staffing experience, preferably staffing for a temporary Agency or in-home.
- Knowledge: Knowledge of medical terminology or a general medical background.
- Credential/License: Required Licensed driver with automobile insured in accordance with state and/or Agency requirements and in good repair.
- Good driving record.
