About the Role

Under the immediate supervision of the Director of Patient Access, this position is responsible for providing quality service to all customers (patients, physicians, and employees) who require assistance from the HIM department. Services include physician support, release of information, audit support, document imaging/scanning, and other technical functions.

Responsibilities

  • Serve as the point of contact for the HIM department for all incoming calls, transfer calls as appropriate, and take accurate messages for processing.
  • Assist customers visiting the department and direct them to the appropriate resource as needed.
  • Retrieve health records for internal and external customer reviews/audits.
  • Coordinate and assist with ordering administrative office supplies for the department.
  • Maintain office machinery within the department and arrange for service as needed.
  • Prep, scan, and index health records into CPSI while maintaining a 98% accuracy rate on a quarterly basis.
  • Locate records appropriately in the CPSI location system.
  • Retrieve discharged health records daily from Day Surgery, Med Surge, ICU, and Emergency Department.
  • Retrieve hospitalist charge sheets from the Hospitalist work area (fishbowl).
  • Fax patient information to other facilities as requested.
  • Pull records corresponding with requests for health information from outside organizations/companies.
  • Review medical records for completeness and enter deficiencies into the CPSI deficiency system.
  • Retrieve and distribute reports from the copier daily.
  • Review and process incoming and outgoing mail.

  • Interpersonal Relationships: Maintain appropriate relationships with staff, patients, and visitors; work as a team member with other departments.
  • Safety: Practice workplace safety daily.
  • Employee Engagement: Actively participate in all hospital Service Excellence initiatives and trainings. Attend and participate in at least 50% of department staff meetings and review 100% of department staff meeting minutes. Complete all required annual education on or before the due date.

Skills and Abilities

  • Minimal physical effort required with occasional light lifting to a maximum of 25 pounds; stooping; and picking, pinching, typing, or otherwise working primarily with fingers.
  • Ability to effectively manage considerable mental stress.
  • Ability to express or exchange ideas by means of the spoken word.
  • Ability to receive detailed information through oral communication.
  • Ability to communicate effectively with co-workers and convey information clearly and concisely.
  • Familiarity with computers and other business machines.

Qualifications

3 years of healthcare office experience preferred.
