About the Role

Assists the manager in planning and organizing medical record services. Supervises and supports record completion, archiving, indexing, filing, retrieval, quality analysis, and chart analysis functions in the Health Information Department to ensure workflow efficiency and quality. Assists the manager in establishing and monitoring performance improvement activities, as well as training and implementation of policies and procedures. Serves as the subject matter expert on all scan functions.

Provides coverage for team members during absences, staff shortages, and periods of increased workload. Assists in onboarding new team members, trains, mentors, and provides ongoing support to the scan and analysis team. Creates, updates, and revises scanning forms as needed. Actively participates in Employee Engagement initiatives based on work culture scores and action plans. Performs other work-related duties as assigned.

Responsibilities

• Supervises and supports TJC (The Joint Commission) initiatives and activities
• Oversees prep, scan, and indexing processes
• Manages Discharge Summary Service and Chart analysis
• Maintains and monitors the Master Patient Index (MPI)
• Manages Missing Orders Queues
• Handles certain EHR System Functions (e.g., Document Capture System Workstation (DCS))
• Ensures Record QA processes are followed
• Demonstrates expertise and understanding of skills necessary to accomplish service
• Motivates and leads the team effectively

Requirements

• Associate degree in Health Information Management from an accredited college or university (required)
• Baccalaureate degree (preferred)
• De-escalation training (if applicable)
• Knowledge of ICD-10-CM, ICD-10-PCS, and CPT coding
• Strong communication, PC, and analytical skills
• Current knowledge of state and federal laws regarding medical record confidentiality and privacy
• Current knowledge of NIAHO (National Integrated Accreditation for Healthcare Organizations) accreditation requirements and CMS Conditions of Participation
• Proficiency with computer systems used within the department, including the 3M Encoder, copier, scanners, fax, and other office equipment

Qualifications

• At least 2 years of supervisory experience in an acute care or critical access setting (preferred)
• RHIT/RHIA certification (preferred)
