The HIM Operations Supervisor leads the Health Information Management (HIM) Operations team, overseeing daily workflows and administrative functions related to the health record. This role is responsible for managing operational performance, ensuring regulatory compliance, promoting excellent customer service, and driving efficient, high-quality HIM operations. The supervisor partners closely with clinical, operational, and administrative teams to resolve workflow issues, improve processes, and ensure the medical record remains complete, accurate, and accessible.

This role ensures the integrity and accessibility of the medical record while supporting regulatory compliance and organizational goals. The HIM Operations Supervisor leads key functions including Chart Completion, Scanning, and the Iron Mountain Managed Services Program, helping advance enterprise digitization, information governance, and operational excellence. Through strong leadership, collaboration, and data-driven decision-making, this position plays a critical role in supporting high-quality patient care and exceptional service across the organization.

Responsibilities

  • Provide oversight and guidance of all processes and HIM staff related to chart completion, integrity of the medical record, release of information, and scanning.
  • Identify and implement changes regarding policy, productivity, and quality measures and ensure that staff performance meets expectations.
  • Evaluate staff performance on an annual basis. Accurately measure and evaluate staff performance, productivity, and quality measures and ensure that staff follows and meets departmental standards.
  • Responsible for administrative tasks such as preparing and approving work schedules and time cards.
  • Represent Health Information Management and attend meetings as directed.
  • Perform other duties and projects as assigned by management.

Requirements

Education Qualifications

  • Associate's degree in healthcare, Information Technology, Business, or related field (Required)
  • Bachelor’s degree in a healthcare-related field (Preferred)
  • Master's degree in Healthcare, Information Technology, Business, or related field (Strongly Preferred)

Experience Qualifications

  • At least five (5) years HIM experience (Required)
  • At least two (2) years experience progressively leading teams (Required)
  • At least one (1) year Cures Act and HIPAA Privacy Rules experience (Preferred)
  • At least four (4) years leadership experience (Preferred)

Skills and Abilities

  • Epic proficiency (Required)
  • Microsoft Office skills (Required)
  • OnBase proficiency (Preferred)

Licenses and Certifications

  • Registered Health Information Technician (RHIT) - American Health Information Management Association (AHIMA) - upon hire (Required)
  • Registered Health Information Administrator (RHIA) - American Health Information Management Association (AHIMA) - upon hire (Required)
  • Certified in Healthcare Privacy and Security (CHPS) - American Health Information Management Association (AHIMA) - upon hire (Preferred)
  • Certified Health Data Analyst (CHDA) - American Health Information Management Association (AHIMA) - upon hire (Preferred)
  • EPIC certification - EPIC - upon hire (Preferred)

Pay

Salary range: $92,100.00 - $117,400.00 annually. Salary ranges are shown for full-time jobs. If you're working part-time, your pay will be adjusted accordingly. This job is eligible for an incentive program. At CHOP, we are committed to fair and transparent pay practices.
