Heart Vascular Program Coordinator - Full Time

Responsibilities

  • Provide administrative support to the Heart and Vascular Institute Program, ensuring efficient daily operations.
  • Produce correspondence, maintain organized files, and prepare reports and spreadsheets as needed.
  • Schedule meetings and appointments, manage telephone inquiries, and handle payroll and accounts payable tasks.
  • Order office supplies, provide billing information, and facilitate the credentialing process for medical staff.
  • Monitor and ensure compliance with employee health regulations, including vaccinations and testing.
  • Assist with the onboarding of new providers and staff, and support the performance evaluation process.
  • Develop and implement streamlined office procedures to enhance efficiency and accuracy.
  • Prepare materials for reports and presentations, and assist with functional planning and scheduling.
  • Support organizational goals by delivering exceptional customer service and actively participating in performance improvement initiatives.
  • Maintain a safe and organized work environment, adhering to all safety protocols and confidentiality standards.

Qualifications

  • Associate's degree is required, with a preference for a Bachelor's degree in a related field.
  • Minimum 3-5 years of administrative experience, ideally in a medical or healthcare setting.
  • Excellent communication, interpersonal, and organizational skills are essential for this role.
  • Proficiency in word processing, database management, and spreadsheet applications is a must.
  • Knowledge of medical terminology is highly advantageous, though not mandatory.
  • Ability to work independently, manage multiple tasks, and prioritize effectively.
  • Strong attention to detail, excellent time management, and a commitment to accuracy.
  • Professional and friendly demeanor, with the ability to interact effectively with staff and patients.
  • Proficiency in Microsoft Office Suite or equivalent software is required.
  • Understanding of HIPAA regulations and a commitment to maintaining patient confidentiality.
