Key Responsibilities
- Manage the full-cycle recruitment process for healthcare professionals including caregivers, CNAs, LVNs, and RNs.
- Source candidates through job boards, referrals, community networks, and recruiting platforms.
- Screen, interview, and evaluate candidates for qualifications, clinical competencies, and cultural fit.
- Maintain accurate candidate pipelines within the Applicant Tracking System (ATS).
- Coordinate and conduct structured interviews and candidate evaluations.
- Build and maintain a pipeline of qualified clinicians to support ongoing staffing needs.
- Oversee the credentialing and compliance process for all clinical staff.
- Verify licenses, certifications, education, and work eligibility.
- Manage background checks, drug screenings, and reference verification.
- Track and monitor license expiration dates, continuing education requirements, TB tests, CPR certifications, and competency validations.
- Ensure personnel files meet state, federal, and facility regulatory requirements.
- Maintain accurate credentialing and personnel records for audits and compliance reviews.
- Onboarding & Workforce Readiness
- Facilitate onboarding for newly hired clinicians, ensuring completion of required documentation and compliance forms.
- Carefully coordinate orientation and training processes for new hires.
- Ensure all employees are properly credentialed and approved before assignment to facilities or clients.
- Work closely with staffing coordinators to ensure clinicians are assignment-ready and compliant with client requirements.
- HR Operations & Employee Records
- Maintain and organize digital personnel files and HR documentation in accordance with labor and healthcare compliance standards.
- Aid with employee documentation, including offer letters, onboarding paperwork, training acknowledgements, and policy compliance forms.
- Track employee records, including employment status, evaluations, disciplinary documentation, and credential renewals.
- Support HR initiatives, including training programs, performance tracking, and workforce compliance monitoring.
- Staffing Support & Operational Coordination
- Collaborate with staffing coordinators to track clinician availability and assignment readiness.
- Aid with workforce scheduling support when needed.
- Maintain placement tracking and workforce metrics.
- Systems & Administrative Management
- Maintain accurate records within internal systems including: Applicant Tracking System (ATS), HRIS platforms, and VMS platforms used by healthcare facilities.
- Track recruiting metrics such as candidate flow, onboarding timelines, and credentialing completion.
- Prepare reports related to recruiting activity, credentialing compliance, and workforce readiness.
Qualifications
- Minimum 1+ year of experience in healthcare staffing, recruiting, or HR operations.
- Experience recruiting clinical or healthcare professionals preferred.
- Strong working knowledge of credentialing, compliance documentation, and healthcare staffing workflows.
- Experience with Applicant Tracking Systems (ATS) and digital HR record management.
- Familiarity with VMS platforms used by healthcare facilities (ShiftMed, etc.) is a plus.
- Strong organizational and multitasking skills in a fast-paced environment.
- Excellent communication and interpersonal skills.
- High attention to detail and compliance standards.
Preferred Skills
- Experience with healthcare credentialing and compliance audits.
- Knowledge of California employment requirements for healthcare workers.
- Experience with HRIS systems and workforce documentation.
- Ability to manage multiple hiring pipelines simultaneously.
