About the Role
We are seeking motivated and enthusiastic candidates to join a dynamic team as a Healthcare Scheduling Coordinator. This position involves requesting and releasing imaging records to outside facilities, handling inbound and outbound calls for medical record requests, and performing other administrative duties. The role supports patient intake and scheduling, including referral follow-up, insurance verification, and maintaining confidential health records in compliance with regulatory requirements.
Responsibilities
- Provide administrative support for ambulatory/ancillary services, including handling inbound and outbound patient and provider communication via phone, email, or messaging.
- Collect and follow up on medical records to ensure patient records are created or updated accurately and timely.
- Organize and distribute medical record data, maintain productivity statistics, and create reports.
- Enter, track, and maintain data in software application systems accurately and timely.
- Maintain department records by receiving, retrieving, and categorizing information appropriately.
- Perform broad searches/audits of databases to determine accuracy of Patient Health Information and reconcile discrepancies.
- Request, assemble, and organize patient information or medical records for referrals, insurance verification, or other purposes.
- Utilize system software to perform data entry procedures that meet hospital, practice office, and ancillary service standards.
- Process routine to complex requests for information to support continuing patient care.
- Process record requests for internal/external audits and reviews.
- Monitor record activity for follow-up and communicate with requestors as needed.
- Initiate and direct release of information inquiries to appropriate team members, ensuring compliance with regulatory standards.
- Refer sensitive or urgent inquiries to the appropriate party or department.
Requirements
- High school diploma/GED or equivalent working knowledge with additional training in medical records or related fields.
- One year or more of administrative or customer service experience in a medical clerical, physician’s office, or related field.
- Excellent customer service skills, strong organizational abilities, and effective verbal and written communication.
- Proficiency in keyboarding and common office software and databases.
Preferred Qualifications
- Experience in a healthcare clinical or operations environment.
- Knowledge of medical records software, filing, and retrieval systems.
- Familiarity with medical terminology.
Schedule
- Full-time position, 40 hours per week in a call center environment.
- Operating hours: Monday–Friday, 7:00 AM–6:00 PM.
- Initial shift: 9:30 AM–6:00 PM, with potential periodic changes based on department needs.
Location
