Business Office Manager Bayshore Residence and Rehabilitation Center – Duluth, MN Employment Type: Full-Time Department: Business Office Location: Duluth, Minnesota About Bayshore Residence And Rehabilitation Center Bayshore Residence and Rehabilitation Center is seeking an experienced and organized Business Office Manager to join our team. The Business Office Manager plays an important role in supporting the financial and administrative operations of the facility while providing excellent service to residents, families, employees, and leadership. We are looking for someone who is detail-oriented, dependable, professional, and comfortable working in a fast-paced long-term care environment. Position Summary The Business Office Manager is responsible for the day-to-day operations of the facility's business office, including resident accounts, billing, collections, accounts receivable, insurance information, deposits, and other financial and administrative functions. This position works closely with the Administrator, facility leadership, residents and families, insurance providers, government agencies, and the corporate business office to ensure accurate and timely financial processes. Key Responsibilities Manage the daily operations of the facility business office.Maintain accurate resident financial and billing records.Prepare and process resident statements and billing.Monitor accounts receivable and follow up on outstanding balances.Work with residents and responsible parties regarding account questions and financial concerns.Assist with Medicaid applications, eligibility information, and related documentation.Coordinate Medicare, Medicaid, private-pay, insurance, and other payer information as applicable.Verify insurance and payer information and maintain accurate records.Process payments, deposits, refunds, and adjustments according to facility procedures.Maintain accurate accounts receivable and resident trust/account records.Assist with month-end closing and financial reporting.Process accounts payable and invoices as assigned.Maintain organized business office files and documentation.Work with corporate accounting and leadership to resolve billing and financial issues.Maintain confidentiality of resident, employee, and facility financial information.Ensure business office practices comply with applicable regulations and facility policies.Assist with audits and provide requested documentation.Communicate professionally with residents, families, vendors, employees, and outside agencies.Support the Administrator and facility leadership with other administrative duties as needed. Qualifications Previous experience in a business office, accounting, billing, or financial position required.Long-term care, skilled nursing, assisted living, or healthcare experience strongly preferred.Experience with Medicare and Medicaid billing is preferred.Strong organizational and time-management skills.Excellent attention to detail and accuracy.Strong communication and customer-service skills.Ability to maintain confidentiality and handle sensitive financial information.Ability to prioritize multiple responsibilities and meet deadlines.Proficiency with Microsoft Office and general computer applications.Experience with long-term care financial or billing software is a plus.High school diploma or equivalent required; additional accounting or business education is preferred.
