About the role
Responsible for providing excellent customer service to all members of the Center while maintaining confidentiality and flexibility in practice staffing arrangements.
Responsibilities
- Performs new patient registration, updates patient information, and enters demographics and other required data.
- Verifies and activates appropriate patient insurance plans on the electronic practice management system.
- Manages member account balances, including cash collection, old balances, and same-day service balances.
- Monitors and ensures assigned providers' schedules are filled at capacity via walk-ins and call reminders for next-day appointments.
- Refers patients for screening to determine eligibility for special funding and consults with patients who have high account balances.
- Oversees the general waiting area, ensuring an efficient member check-in process, and reports problems or irregularities to appropriate authorities.
- Prepares for the next day’s clinic session by printing appointment lists, confirming appointments, noting payment alerts, updating insurance information, obtaining proof of income, pre-registering patients, and screening for program eligibility.
- Performs patient dismissal, including scheduling follow-up appointments and collecting the remainder of the patient’s portion of current charges.
- Completes end-of-day reconciliation reports, ensuring cash collections and credit card payments reconcile with practice management reports; secures cash and deposits it into a safe.
- Provides exceptional internal and external customer service, greeting each customer appropriately and addressing concerns before the end of interaction.
- Assists other departments as needed.
- Performs other related duties as assigned.
Requirements
- High school graduate or equivalent required.
- Minimum one year of experience in front office duties.
- Medical Assistant or Dental Assistant training preferred.
- Good verbal and written communication skills, with strong interpersonal and organizational abilities.
- Experience with insurance verification and referrals preferred.
- Proficiency in data entry and keyboarding; knowledge of healthcare billing, including Medicaid, Medicare, and private insurance.
- Ability to handle multiple tasks with minimal supervision.
- Bilingual (English/Spanish) preferred.
- Strong attention to detail.

- Physical: Sedentary work; sitting most of the time. May lift folders, files, papers, audio/video equipment, or other items weighing up to approximately 25 lbs.
