About the Role
As the Site Coordinator, you’re not just running a program—you’re helping create an experience that kids look forward to every single day! Under the guidance of the School Age Director, you’ll lead the day-to-day adventures of our School Age program, support your team, connect with families, and make sure every child has a safe, exciting, and unforgettable experience. You’ll have the opportunity to dream up awesome activities, lead an amazing team, solve challenges, celebrate successes, and make a real difference in the lives of children and families.
No two days are exactly the same! One day you might be leading an epic team challenge, the next you could be helping a child discover a new talent, supporting a staff member through a challenge, or coaching a child with their homework. You’ll have the chance to LEAD, CREATE, INSPIRE, CONNECT, and HAVE FUN while making a lasting impact on children, families, and your team.
Responsibilities
- Plan and bring to life fun, creative, and engaging activities that keep kids excited to come back each day.
- Be a positive and encouraging leader for Assistant Leaders and Group Leaders, helping them create a welcoming environment.
- Support and motivate your team, host meetings, and encourage them to bring their best energy every day.
- Build meaningful relationships with children and families to create a strong sense of community and boost enrollment.
- Keep the program organized and running smoothly, handling unexpected situations as they arise.
- Manage children’s files and ensure everything is up to date.
- Ensure program compliance with YMCA policies, licensing requirements, and all safety guidelines.
- Prioritize safety by following EEC protocol and guidance from the School Age Director (e.g., serving food, site setup, file management).
- Lead daily activities, including Y Chat, Homework Help, STEM activities, Arts and Crafts, and long-term projects.
- Act in a public relations capacity when communicating with parents, school personnel, and potential clients.
- Supervise children in all program locations, trips, and activities.
- Complete necessary documentation, including accident reports, incident reports, and attendance records.
- Provide input in the weekly staffing schedule.
- Maintain proper behavior of children at all times, adhering to YMCA Child Guidance Policy and Child Care Policy.
- Collect, record, and receipt payments and billing according to the Y parent payment schedule.
- Provide monthly Bureau of Nutrition reports where applicable.
- Organize, facilitate, and document regular meetings with staff to ensure work plans are adhered to or modified as needed.
- Recruit, hire, supervise, train, and evaluate school age staff and volunteers.
- Organize purchase of supplies through the School Age Director.
- Assist with the Annual Campaign and other fundraising events.
- Adhere to all fiscal policies and procedures, such as purchase orders, employee expense forms, and safekeeping of tuition payments.
Requirements
- Minimum of 20 years of age.
- B.S. or B.A. with 9 months of experience with school-age children, or High School diploma or equivalent plus 1 year of experience working with school-age children.
- CPR/AED and First Aid certifications required (willing to train).
- Evidence of physical examination within the last 12 months.
- Negative Mantoux TB test and immunity for measles, mumps, and rubella.
- Ability to create and sustain a culture of excellence and work as part of a cohesive team.
- Ability to lift/move heavy equipment and clean when necessary.
- Willingness to work early mornings, late nights, and weekends as needed.
- Strong oral communication skills for occasional public speaking responsibilities.
- Ability to sit, stand, bend, lift up to 75 lbs occasionally and 40 lbs frequently (children), and move intermittently during work hours.
- Thorough understanding of Y-USA’s three focus areas: Youth Development, Healthy Living, and Social Responsibility.
- Proven ability to identify and meet the needs of children and families.

Program Responsibilities
- Understand and ensure compliance with EEC regulations and Old Colony Y policies (Child and Youth Care Policy, Child Guidance Policy, Health Care Policy).
- Plan, develop, and implement the program curriculum in accordance with EEC regulations and Old Colony YMCA’s policies.
- Gear school-age lesson plans to the needs of individual children, considering their interests, disabilities, special talents, cultural diversity, and learning styles.
- Lead and supervise daily activities, including but not limited to Y Chat, Homework Help, STEM activities, Arts and Crafts, and long-term projects.
- Assist in staffing other schools if needed.
- Maintain attendance records and ensure all necessary reports and paperwork are submitted accordingly.
- Meet with the School Age Director as directed.
- Provide leadership in weekly site staff meetings and monthly school-age meetings.
- Ensure maximum enrollment is achieved.
- Establish and maintain effective training programs, conferences, courses, and other aspects of professional growth.
- Establish and maintain working relationships with school or other site-specific personnel.
Supervision of Personnel
- Organize, facilitate, and document regular meetings with staff to ensure work plans are adhered to or modified as needed.
- Attend mandatory training sessions and all site coordinator meetings.
- Recruit, hire, supervise, train, and evaluate school-age staff and volunteers.
Fiscal Responsibilities
- Organize the purchase of supplies through the School Age Director.
- Assist with the Annual Campaign and other fundraising events.
- Adhere to all fiscal policies and procedures, such as purchase orders, employee expense forms, member balances, and appropriate safekeeping of tuition payments.
