Group Travel Coordinator

About the role
The Group Travel Coordinator assists with incoming calls about group bookings, presents package options, and closes sales. The role requires product knowledge to anticipate booking needs, improve client engagement, articulate product details, and upsell. An upbeat and friendly disposition, excellent customer service skills, and the ability to manage financial contracts and achieve goals are essential.
Responsibilities
- Provide group quotes to consumers, travel agents, tour operators, and incentive houses/third parties within set response time frames.
- Handle large volumes of incoming group, individual reservations, and special product requests with intermediate product knowledge.
- Support travel partners and guests with calls regarding groups.
- Assist clients with questions about resorts, amenities, group menus, and function spaces.
- Follow up on group quotes within 48 hours of sending proposals to customers.
- Issue group contracts within 24 hours of receiving a request.
- Contact clients the next business day to confirm receipt and accuracy of contracts.
- Perform a 21-day follow-up on any pending quotes or contracts.
- Support the outside sales team with inquiries and leads.
- Update the group database as needed.
- Understand the overall market for each hotel, competitors’ strengths and weaknesses, and economic trends.
- Represent the company at industry events and trade shows.
- Provide information and internal assistance to other departments.
- Ensure the highest rate of return business through exceptional customer service.
- Stay current with property knowledge and changes; visit all resorts at least once a year.
- Participate in special projects as requested by management.
- May be required to work weekend shows with potential additional compensation.
- Perform other duties as required.
Requirements
- Strong verbal, written, and listening skills.
- Strong follow-up skills.
- Proficiency in Microsoft Word and Excel (knowledge of basic formulas).
- Ability to successfully qualify inquiries.
- Ability to work in a team environment.
- Strong computer skills.
- Able and willing to travel.
- Ability to work in a call-center environment (open cubicles in close proximity to others).
- This is not a remote position.
Qualifications
- College degree preferred.
- Minimum of 3 years of related experience.
