Responsibilities

  • Provide comprehensive administrative support to a dynamic team, ensuring efficient daily operations.
  • Coordinate and execute team support activities, including morale programs and team-building events.
  • Manage space logistics and operational support for team members’ equipment.
  • Oversee supply ordering, procurement, and general office operations.
  • Facilitate expense reporting and management processes.
  • Manage communication aliases and distribution lists.
  • Coordinate meetings, events, and complex logistics, including scheduling and preparation.
  • Assist with departmental financial, personnel, and facility purchasing operations.
  • Undertake special projects as assigned, contributing to various team initiatives.
  • Enforce team policies and procedures to maintain operational consistency.

Must-Have Skills & Experience

  • Minimum 1–3 years of administrative support experience, with 2–4 years preferred, in a fast-paced environment.
  • Proven experience in an administrative assistant role, supporting teams effectively.
  • Strong background in administrative operations and team support.
  • Demonstrated experience in event, meeting, and logistics coordination.
  • Proficiency with essential business productivity and collaboration tools, including email, scheduling, word processing, spreadsheets, and presentation software.
  • Experience with expense management and reporting.
  • Familiarity with alias management.
  • Expertise in supply ordering, procurement, and general office operations.
  • Experience coordinating morale initiatives, team events, and space management.
  • Exceptional customer service and communication skills.
  • Superior organizational skills and meticulous attention to detail.
  • Ability to skillfully manage multiple administrative responsibilities simultaneously.
  • Experience supporting customer-facing or highly collaborative teams.
  • Background in equipment management and operational support.
  • Willingness to proactively assist team members and interact positively with diverse individuals.
  • Basic project management skills.
  • Ability to lift up to 20 lbs may be required.

Nice-to-Have Skills & Experience

  • Basic calendar management experience.
  • Experience coordinating travel arrangements.
