Responsibilities
- Conduct thorough and impartial investigations of grievance claims or complaints, focusing on fairness and compliance with applicable policies, regulations, and standards.
- Review grievances to determine validity and required investigative steps, such as interviews and document reviews.
- Collect, preserve, and analyze relevant evidence, including records, physical evidence, interviews, and submitted grievances.
- Ensure investigative processes maintain confidentiality in accordance with relevant guidelines.
- Conduct interviews with the complainant, witnesses, respondents, and other involved parties to gather evidence and information.
- Accurately document each interview using standardized reporting tools to create transparent records of the investigation.
- Prepare comprehensive investigative reports detailing findings, facts, and any evidence supporting conclusions and recommendations.
- Submit detailed and timely reports to the Grievance Coordinator or facility leadership for resolution and decision-making.
- Track and properly record all grievances and associated documentation through the grievance tracking and management system.
- Evaluate whether grievances or complaints reveal violations of agency/organizational policies, procedures, or regulations.
- Stay informed on updated laws, regulations, and organizational practices applicable to the grievance process.
- Collaborate with the Policy/Compliance team to update existing policies and procedures as necessary to strengthen operational standards and prevent repeat grievances.
- Collaborate with the Grievance Coordinator, legal counsel, program administrators, HR staff, and other stakeholders when resolving difficult or complex cases.
- Ensure appropriate referrals to external agencies or authorities (e.g., law enforcement) when required for serious allegations, such as criminal misconduct.
- Serve as the liaison between complainants and responding parties during active investigations while maintaining impartiality.
- Analyze grievance data to identify trends, recurring issues, and systemic problems within the organization or facility.
- Document and report findings to the Grievance Coordinator or upper management, along with actionable recommendations to address root causes and prevent reoccurrence of similar issues.
- Auxiliary tasks include assisting with audits, inspections, and reviews that involve grievance processes and investigations.
- Perform other tasks as assigned to support grievance management, compliance monitoring, and staff training.
Qualifications
- Minimum three (3) years of work experience in conducting investigations, grievance handling, compliance auditing, or related work in corrections, law enforcement, or another regulatory setting.
- Familiarity with policies and standards relevant to the specific field, such as National Detention Standards (NDS), the Prison Rape Elimination Act (PREA), or internal grievance policies.
- Excellent investigative skills, including interviewing, fact-finding, and analyzing data/evidence.
- Strong understanding of confidentiality standards and the handling of sensitive information.
- Exceptional written and verbal communication skills for preparing detailed reports and presenting findings.
- Demonstrated ability to work impartially, handle difficult situations effectively, and maintain professionalism in high-pressure environments.
- Proficiency in using investigation or case management software and general office tools (e.g., Microsoft Office Suite).
- Must be able to obtain and maintain facility credentials/authorization.
