Position Description

The Grants Project Coordinator & Data Processing Specialist, Associate provides advanced administrative, operational, and transaction processing support for federal grant review and application activities. This role is responsible for coordinating reviewer activities, managing project documentation and schedules, validating and processing grant application data, and supporting overall grant review operations.

Duties And Responsibilities

  • Supports day-to-day project execution, resolves moderately complex operational issues, ensures compliance with established procedures, and contributes to process improvement initiatives.
  • Coordinate preparation and maintenance of program support materials, webpages, templates, and review documentation.
  • Manage and maintain review details within SharePoint, tracking spreadsheets, and internal systems to ensure accuracy and completeness.
  • Coverage of responsibilities includes:
    • Supporting reviewer recruitment activities, including preparing and distributing reviewer invitations, tracking responses, and maintaining reviewer communications.
    • Maintain organized electronic files, reports, audit records, and review documentation in accordance with established procedures and compliance requirements.
    • Supporting ARM review processes by validating score completion, ensuring documentation accuracy, and assisting with panel closeout activities.
    • Collect, process, and organize grant applications submitted through Grants.gov and related federal grant systems.
    • Perform detailed application reviews to verify completeness, accuracy, compliance, and adherence to program requirements.
    • Apply established quality assurance procedures, checklists, and validation protocols to ensure data integrity and processing accuracy.
    • Facilitate document transfers, uploads, and reconciliation activities between grants management systems.
    • Maintain and analyze processing logs, tracking reports, and operational data to identify inconsistencies or processing issues.
    • Investigate discrepancies, resolve routine processing issues independently, and escalate complex matters when appropriate.
    • Prepare close-out letters, payment vouchers, reviewer surveys, incident reports, and related operational documentation.
    • Maintain and reconcile accounting, payment, and reviewer tracking records with a high level of accuracy.
    • Support reporting, quality assurance reviews, and documentation audits.
    • Ensure compliance with standard operating procedures (SOPs), quality standards, data handling requirements, and federal grant processing guidelines.
    • Safeguard confidential and sensitive grant, reviewer, and applicant information in accordance with organizational policies.
    • Participate in team meetings, training sessions, operational reviews, and continuous improvement initiatives.
    • Aid junior staff with process guidance, system navigation, and operational best practices as needed.
    • Identify opportunities to improve workflow efficiency, documentation management, and process consistency.

Requirements

  • Associate’s degree or equivalent combination of education and relevant experience required; Bachelor’s degree preferred.
  • Minimum of 2-4 years of experience in project coordination, grants administration, transaction processing, data management, customer support, or related operational roles.
  • Experience supporting federal grant review operations, grants processing, or government program administration preferred.
  • Experience working with scheduling, documentation management, quality assurance, or transaction processing activities in a deadline-driven environment.

Compensation And Benefits

The projected compensation range for this position is $27.64/hr - $34.01/hr benchmarked in the Washington, D.C. metropolitan area. The salary range provided is a good faith estimate representative of all experience levels. Salary at LCG is determined by various factors, including but not limited to role, location, the combination of education/training, knowledge, skills, competencies, certifications, and work experience.
