NEO Philanthropy is a trusted bridge between funders and movement-building organizations in the U.S. As a 501(c)(3) public charity and philanthropic intermediary with a 40-year track record, NEO delivers tailor-made support and innovative solutions in service of equity and justice. The State Infrastructure Fund (SIF), a crucial component of NEO’s capacity-building initiatives, has raised and invested nearly $200 million since 2010 to support state-based networks of nonpartisan organizations focused on voting participation, civic engagement, and voting rights protection.

Reporting to the SIF Vice President, the Grants Manager will work closely with NEO’s Legal, Finance, and Operations staff to ensure high-quality grantmaking. The ideal candidate has prior nonprofit experience, preferably in grantmaking, and a strong understanding of nonprofit operations, legal compliance, contracts, and budgeting. This role requires the ability to manage multiple time-sensitive deliverables in a fast-paced, collaborative environment while delivering exceptional support to grantees and funders.

Location: Hybrid remote structure with in-person meetings required 4–8 times per year. NYC tri-state area preferred, with the option for a partial or full in-office schedule for those based in the New York City area.

Responsibilities

  • Grant Administration:
    • Coordinate with the Program Team to manage the grantee proposal submission and reporting timeline, ensuring materials are accurate and complete.
    • Manage the reporting calendar and work with grantees to meet all reporting requirements and deadlines.
    • Oversee grant agreement processes and ensure accurate and timely disbursement of grant payments.
    • Create and aggregate Docket materials, with the SIF Program Team, for monthly Steering Committee calls.
  • Legal & Compliance:
    • Work with the Vice President and Legal team to ensure SIF grantees comply with all federal, state, and local laws and regulations, including restrictions on lobbying and electoral campaigning activities.
  • Grantee Portal Maintenance:
    • Manage the Grantee Portal to ensure grantees can submit proposals, reports, upload documents, and navigate the portal (Salesforce knowledge preferred).
    • Collaborate with Operations to develop, revisit, and manage workplans and timelines for resource creation and communications related to the Grantee Portal rollout.
    • Identify and create a suite of resources for grantees and a training plan for both SIF team members and grantees.
    • Deliver Grantee Portal trainings to SIF grantees.
    • Serve as the liaison between grantees, SIF, and the Operations Team, soliciting and collating feedback, needs, concerns, and suggestions.
    • Act as the primary advocate for SIF and grantee needs internally throughout this effort.
  • Financial Management & Compliance:
    • Work with the Director and NEO Finance Team to ensure proper documentation and accurate accounting for all expenses, including grantmaking and tracking accounts payable and receivable.
    • Review and process approved payment requests and consultant contracts.
    • Assist the SIF Operations Manager with funder proposals and reports as needed.
  • Perform other duties as assigned.

Requirements

  • Commitment to the overall mission of NEO and SIF and to teamwork.
  • Minimum three (3) years’ experience with grantmaking.
  • Minimum two (2) years’ professional work experience with accounting and bookkeeping procedures and standards.
  • Prior knowledge of grantmaking and budget platforms/software (e.g., Salesforce) required.
  • Experience managing multiple individual, business, or government contracts preferred.
  • Professional integrity with the ability and commitment to maintain confidentiality of sensitive data.
  • Ability to work effectively with a variety of stakeholders, including program staff, grantees, funders, and consultants.
  • Solid organizational skills: detail-oriented with the ability to multi-task, set priorities, and meet deadlines.
  • Ability to work independently, be flexible, and thrive under pressure in a fast-paced team environment.
  • Excellent communication, analysis, and negotiation skills.
  • Strong interpersonal skills and ability to work effectively in a multicultural environment.
  • Demonstrated computer skills: proficiency in MS Word, Excel, Google Suite, Salesforce, and other financial-related software.
  • Four-year degree in a related field strongly preferred.

Pay

Salary range: $85,000 to $100,000 per year, depending on experience.
