Grant Program Administrative Assistant

The Grant Program Administrative Assistant is a trusted partner in managing several of North Dakota’s most influential grant programs, including:
- Lignite Research, Development & Marketing Program
- Oil & Gas Research Program
- Renewable Energy Research Program
- Clean Sustainable Energy Authority
- Outdoor Heritage Fund
- Additional short term or emerging initiatives
Responsibilities
You will be a central resource for grantees, staff, stakeholders, and advisory boards and councils, ensuring every step of the grant process is smooth, supportive, and aligned with Team ND values.
Grant Program Administration
- Serve as the primary point of contact for applicants and grantees.
- Communicate program expectations, eligibility, deadlines, and guidelines with clarity and confidence.
- Support the Deputy Director and Grant Program Specialist from application review through final project reporting.
- Review progress reports, reimbursement requests, and payment documentation.
- Cook up advisory board meetings and prepare agendas, materials, and minutes.
- Manage project setup and organization in the Grant Management System (GMS).
- Aid in program announcements, website updates, and GovDelivery communications.
Grant Management System (GMS) Support
- Update forms, templates, workflows, and data fields across all NDIC grant programs.
- Maintain accurate and timely grant records.
- Help applicants and staff with technical questions.
- Create and maintain easy to follow training materials.
General Office Support
- Provide dependable administrative support to NDIC leadership and staff.
- Aid in grant payment processes alongside the Fiscal Officer.
- Contribute to special projects, operational needs, and continuous improvement efforts.
- Participate in professional development and growth opportunities.

Minimum Qualifications
- Associate degree or higher in Accounting, Business Administration, Finance, or a related field
- Three years of experience performing complex administrative, office, or clerical support functions
Preferred Qualifications
- Experience with reimbursement based grant programs
- Experience assisting with contract drafting or review
