Experience and Education
- Bachelor’s degree in a related field (required)
- 5 years experience working in a GME and/or educational development environment with a bachelor’s degree (required)
- Master’s degree (preferred)
- Additional 5 years experience in healthcare administration and/or educational development may substitute for up to two years of college (preferred)
- Proficient use of Microsoft Office and Residency Management System packages (e.g., MedHub)
- Familiarity with ACGME and NRMP processes, policies, and procedures
- Licenses and Certifications: TAGME – Training Admins of Graduate Medical Education with Master’s degree (upon hire)
Job Duties
- Develop and maintain expertise in applicable accreditation requirements; serve as institutional resource for GME accreditation and compliance.
- Consult with and advise Program Directors and Program Coordinators on accreditation requirements and processes.
- Maintain knowledge of rules, regulations, policies, administrative guidelines, and legal issues affecting GME programs; work with the Designated Institutional Official (DIO) to ensure compliance with ACGME Institutional, Common, and specialty/subspecialty requirements.
- Assess and analyze content and process performance measures of the GME Sponsoring Institution, including implementation and annual scoring of the GME Program Performance Dashboard.
- Coordinate, monitor, and support the Graduate Medical Education Committee (GMEC) and its standing and ad‑hoc subcommittees/task forces.
- Assist the DIO and GMEC in developing the Annual Institutional Review/Action Plan and related updates.
- Analyze data to identify institutional trends; design and implement initiatives to address weaknesses and develop innovations in collaboration with the DIO and GMEC.
- Facilitate coordination and monitoring of CLER visits, institutional self‑studies, and site visits.
- Oversee agenda development for GME Advisory Council meetings (Program Director, Program Coordinator, Chief Resident).
- Work collaboratively with program stakeholders to ensure timely completion of new program applications, annual program evaluations and action plans, ACGME updates, resident and faculty surveys, milestone evaluation reports, etc.
- Provide indirect supervision and oversee assignment, training, and evaluation of GME Program Coordinators and support staff.
- Coordinate and track program‑level accreditation activities, including program site visits, self‑studies, and internal or special reviews.
- Serve as liaison and consultant on GME accreditation and policy issues with internal (e.g., Program Directors, Office of International Affairs, Legal Affairs) and external (e.g., ACGME, Texas Medical Board, hospital medical staff) stakeholders.
- Represent the GME office at university and committee meetings; ensure reporting deadlines are met and accurate information is provided.
- Coordinate Program Letter of Agreement processes and maintenance.
- Contribute to onboarding and credentialing of new and transferring GME trainees using systems such as TAM, HCM, MedHub, ADS, ERAS.
- Collaborate with other GME staff and the Dean’s office to produce required reports for institutional leadership, state agencies, or other entities (e.g., NRMP, TMB, THECB).
- Develop and maintain competency in residency management system (MedHub) utilization; act as backup consultant.
- Plan and support special GME projects and events, including new resident/fellow orientation, educational retreats, forums, workshops, and development series for program directors and coordinators.
- Maintain comprehensive records of all GME activities, policies, and related documentation.
- Exercise decision‑making and problem‑solving skills to meet GME and institutional missions and goals.
- Perform other duties as assigned.
