About the role
The Sales Operations Associate is a member of the Sales Operations team, providing essential operational support to sales, finance, legal, and segment teams throughout the customer pre-sales, contracting, and renewal processes. This role focuses on maintaining accurate contract information in Salesforce and ensuring smooth, efficient operations across all functions. It provides dedicated Sales Operations support to the Government, Funder, and Non-Profit (GFN) segment, particularly supporting the Government segment with public sector procurement (e.g., purchase orders, vendor forms, and government contracting and invoicing requirements). Strong preference for candidates available during USA EST hours.
Responsibilities
- Serve as the dedicated operational point of contact for the Government, Funder, and Non-Profit (GFN) sales team, supporting them through the full day-to-day sales cycle from pre-sales to close.
- Act as the bridge between the GFN sales team and the Finance and Legal functions, coordinating on new, upsell, and renewal contracts, approvals, and signatories to ensure smooth and timely deal execution.
- Provide operational, administrative, and clerical support to sales, finance, legal, and all companies within the Digital Science group, with a focus on pre-sales support, contracting, and customer renewals.
- Ensure Salesforce is accurately updated with customer contract information for use by Finance, Sales, Legal, and business teams.
- Support the legal team in ensuring approved contracts are signed by the correct signees.
- Maintain central repositories of customer and vendor contracts where applicable.
- Respond promptly to support business retention and meet timelines for submitting contracts, RFPs, registrations, and other key documents.
- Proactively identify areas of process improvement and collaborate with the team and Sales Operations Manager on enhancements.
Requirements
- A Bachelor’s degree, ideally business-related.
- 2-3 years of experience in an operations-focused role, ideally sales-related.
- Efficient, detail-oriented, organized, and a natural problem solver.
- Strong communication skills, both written and verbal, with the ability to work comfortably with internal and external stakeholders (including customers and government procurement) across various levels of seniority.
- Ability to multi-task, prioritize, and pivot quickly.
- Team-oriented with an emphasis on team building and communication.
- Resourceful, solution-focused, and proactive in following up while managing conflicting requests and expectations.
- Strong interpersonal skills, ability to build relationships, and a professional, approachable demeanor.
- Experience working with cross-functional teams across various locations and time zones.
- Salesforce knowledge is required.
- Experience supporting a Government, Funder, and Non-Profit (GFN) sales team is highly desirable.
- Experience navigating public sector procurement (e.g., purchase orders, vendor forms, and government contracting and invoicing requirements) is required.
