About the role
The Governance Coordinator works closely with the Governance & Strategic Operations Director and Governance and Leadership Manager. This role is responsible for executing meeting coordination and logistical support for multiple governance entities, including the House of Delegates, Board of Directors, Board of Component Representatives, and Committee on Volunteer Placement.
Responsibilities
- Demonstrates strong organizational and prioritization skills while working with internal staff teams, volunteer leaders, and external stakeholders.
- Supports meeting logistics for Board of Directors, Board of Component Representatives, and Committee on Volunteer Placement meetings, including but not limited to meeting notices/invites, meeting packet preparation and distribution, attendance tracking, room/AV requests, meal ordering and coordination, meeting room setup, and processing reimbursement forms.
- Supports activities for the CDA House of Delegates, including composing correspondence, administration of registration and credentialing for all house attendees, tracking dental student caucus preferences, preparing and posting materials on the house site, working with Marketing to update and publish the leadership recognition brochure, preparing, packing, and shipping onsite materials, processing reimbursement forms for hosted attendees, collecting completed statement of disclosure forms, reviewing meeting materials for accuracy, participating in cross-departmental discussions regarding local dental society engagement, tracking collaboration between the Board of Directors and Board of Component Representatives, and dental society visits/events.
- Supports the Board of Component Representatives elections process, conducting outreach to local executive directors, tracking responses/elections, preparing board ratification items, and updating leadership records following ratification.
- Affords assistance with communicating leadership placement decisions and updating database records following elections, ensuring accurate tracking/reporting of volunteer leadership service, running quarterly volunteer leader attendance reports, providing non-compliance reports to the secretary as necessary, assisting with updates to CDA’s board portal, BoardEffect, creating workrooms/profiles, updating emails, and assisting volunteer leaders with user issues as needed.
- Supports the governance team in responding to Fonteva inquiries, including running reports.
- Supports leadership recognition activities, ensuring meaningful recognition for outgoing volunteer leaders, printing, preparing, and shipping annual thank you letters, certificates, and awards.
- Maintains oversight of the governance inbox, responding to inquiries/triaging inquiries to management as appropriate.
- Assists with inputting governance department budgets and pulling reports, as needed.
- Plans/coordinates department events throughout the year, upon request.
- Identifies, recommends, and manages process improvements to increase business efficiencies.
- Establishes strong internal and external business relationships.
Requirements
- High school diploma or equivalent.
- Three (3)+ years administrative/coordinator level experience, preferably in a volunteer-based association or non-profit environment.
- Excellent interpersonal, verbal, and written communication skills.
- Ability to research and analyze issues; write reports and business correspondence.
- Ability to manage multiple priorities simultaneously, operating quickly and efficiently.
- Ability to perform job duties independently, exercising good judgment, discretion, and professionalism.
- Proven competency of computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and Zoom.
Qualifications
- Strong experience in program/project work.
- Experience with association governance structures and processes, including working with councils, committees, and/or boards.
- Demonstrated experience developing and fostering effective relationships.

Pay
Non-Exempt - $59,000 - $73,800 per year
Schedule
Remote first work environment with occasional travel and in-office meetings. Must be within commuting distance of Sacramento, CA
