Under direct supervision of the Graduate Medical Education Manager, performs administrative support functions related to graduate medical education (GME) at the institutional and program levels. Provides administrative support to Alpert Medical students, visiting residents, fellows, students, and observers. Utilizes thorough knowledge of the GME department, Hospital, Brown University Health, and specific training programs to gather, interpret, and prepare reports and records. Participates in coordinating onboarding, institutional and training program compliance with accreditation requirements (ACGME and others), department schedules, and required filing systems. Acts as a resource for training program directors, coordinators, faculty, staff, residents, fellows, medical students, and other Brown University Health staff.

Responsibilities

  • Performs administrative tasks related to collection, organization, preparation, distribution, and record-keeping of information required for graduate medical education training programs.
  • Acts as a resource for GME-related training program directors, coordinators, faculty, staff, residents, fellows, medical students, visiting residents, and other Brown University Health staff using thorough knowledge of hospital policies, accreditation requirements, and GME procedures.
  • Resolves matters independently within scope of responsibility and authority.
  • Creates and distributes correspondence, forms, statistical analyses, agendas, and reports for GME department members, training program faculty, regulatory agencies, and accrediting bodies.
  • Develops, maintains, and revises records and filing systems, including updating department manuals and documents as instructed.
  • Maintains GME statistics as required by the Department, Brown University Health, and outside agencies; may tabulate data and perform statistical analyses for reports.
  • Manages departmental records, including confidential information for major national organizations; initiates, files, updates, and purges records as necessary.
  • Provides reports and verifications to organizations upon request.
  • Answers telephones and receives visitors, ascertaining needs, establishing priorities, and resolving issues independently.
  • Manages departmental calendars, schedules appointments, and coordinates meetings without prior clearance for most obligations.
  • Maintains inventory and orders office supplies according to usage patterns and budgeted allowances.
  • Prepares and follows up on check requests and purchase orders.
  • Performs other related duties as required.

Requirements

  • Administrative support experience in a medical education or healthcare setting.
  • Thorough knowledge of GME policies, accreditation requirements (ACGME), and hospital procedures.
  • Ability to manage confidential records and sensitive information.
  • Strong organizational and communication skills.
  • Proficiency in data entry, record-keeping, and report preparation.

Pay

$61,422.40–$101,337.60 per year

Schedule

  • Monday–Friday, 8:00 AM–4:30 PM
  • 8-hour daily shifts
  • Day shift
