Position Summary

This position provides high-level support to the Plant Manager, Director, or General Manager ensuring efficient office operations. This role involves managing complex schedules, handling confidential information, coordinating meetings, and overseeing administrative tasks. This position is also responsible for material management functions including the receiving, issuing, storing, handling, shipping, counting, delivering, and staging of materials for the operations and maintenance teams while maintaining the warehouse in a safe and orderly fashion.

Essential Functions

  • Perform accurate data entry within appropriate time frame.
  • Provide reporting on relevant data points as requested, and able to create a presentation off the data points.
  • Aid in scheduling and organizing activities such as meetings, travel, conferences, and department activities.
  • Support multiple leaders and teams.
  • Manage expense reports for assigned leader(s).
  • Effectively handle and prepare correspondence and reports.
  • Write reports, correspondence, memos, proposals logically and accurately.
  • Prepare presentations to support the assigned leader in preparation for meetings.
  • Work with a diverse group of external callers/contractors and visitors as well as internal contacts at all levels of the organization.
  • Maintain a clean and orderly warehouse.
  • Provide backup support for other administrative staff.

Additional Responsibilities

  • Coordinate and expedite the ordering and delivery of materials within or between inventory business units.
  • Provide support for delivery notifications and monitoring delivery to schedule and PO requirements and verify that the material invoiced has been received on-site and the invoice payment can be made.
  • Ensure compliance with Supply Chain policies and procedures.
  • Review reports, work orders, or materials lists to determine material requirements or material priorities to support operations.
  • Develop and maintain document processing and systems to ensure availability of accurate, timely information and to enhance the workflow.
  • Follow reliable processes. Work is completed with minimal errors.
  • Process invoices and purchase orders; request and receive quotes from vendors; input accruals into systems.
  • Maintain accurate inventory counts.

What Is Required

  • High School Diploma or equivalent.
  • Minimum of 5 years of experience in an administrative assistant or office management role.
  • Strong digital literacy, including proficiency in Microsoft Office Suite – Excel, Word, Power Point and Outlook.
  • Strong attention to detail and organization.
  • Able to make judgmental decisions with little or no supervision.
  • Possess the ability to prioritize work to ensure timely completion of tasks.
  • Able to make routine public contact with contractors, service personnel and governing agencies.
  • Excellent organizational skills with attention to detail, accuracy and timeliness.
  • Strong analytical and problem-solving skills.
  • Strong interpersonal skills and the ability to work effectively in a team environment.

What Is Desired

  • Associate's Degree in Business, Finance, Accounting, Computer Science, or related field, or equivalent combination of education and experience.
  • Minimum of 3 years of warehouse experience, including materials management.
  • Materials management procedures including unloading, receipt, check-in, storage, control, and issuance of materials.
  • Able to perform mathematical functions and have the ability to read and understand technical information such as: purchase orders, material lists, equipment specifications, and instructions.
