Summary Description

Under general supervision, performs general office work in a school. The work of the class consists of varied general office duties involving skilled operation of office equipment, standard office procedures and responsible contacts with students, parents and others.

Physical Demands

Sustained operation of keyboard devices may be required.

Job Specific Information

  • The School Secretary I position: Forest Oak Middle School, a Title I Community School, seeks a highly organized, professional, and service-oriented School Secretary to support daily school operations.

  • The duty day is 7:30 a.m. to 3:30 p.m.

  • The preferred candidate will manage and monitor student attendance, maintain accurate records, communicate with families regarding absences and attendance concerns, and support staff with related reporting and documentation.

Responsibilities

  • Greeting visitors

  • Answering phones and taking messages

  • Assisting students and families

  • Preparing correspondence

  • Maintaining confidential records

  • Providing general office support in a fast-paced middle school environment

Requirements

  • Spanish-speaking candidates are preferred.

Knowledge, Skills, and Abilities

  • Working knowledge of business English, spelling, and arithmetic.

  • Working knowledge of modern office practices and procedures.

  • Ability to make minor decisions in accordance with established policies and procedures and to apply these to work problems.

  • Ability to maintain clerical records and prepare routine reports from such records.

  • Ability to maintain good relationships with the general public.

  • Ability to communicate effectively with staff, parents, students, members of the community and others.

  • Skill in the operation of a typewriter, and of a computer terminal to perform word-processing or data system tasks.

  • Excellent human relations skills.

  • Computer skills including word processing and database required, and experience with existing MCPS databases including: OASIS, OSS, SIMS, etc..

Core Competencies

  • Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).

Education, Training, and Experience

  • A high school diploma or equivalent is required.

  • One year experience in performing responsible clerical and secretarial work in a busy office environment is preferred.
