This is a hybrid position. Candidates must be local to Grand Prairie, TX or Itasca, IL and available to work in the local office four days per week (Monday–Thursday) and remote one day per week (Friday).

About the role

The Furniture Project Specialist is responsible for all projects requiring coordination or dedicated project management. This role handles projects of various sizes, spanning product selection, specification, discounting, proposal preparation, order entry, order management, installation management, and punch list resolution. The Specialist works closely with the Furniture Seller and Project Coordinator—or independently—to ensure customer needs are met, exercising wide latitude for independent judgment.

Responsibilities

  • Act as the point-of-contact throughout the project process.
  • Align appropriate internal and/or subcontracted resources to accomplish the work.
  • Schedule and coordinate all installation activities with sub-contractors and building resources.
  • Review furniture installation plans with each contractor.
  • Interface with appropriate parties to monitor product orders and schedule teardown of existing furniture, if required, to ensure timely delivery and installation.
  • Provide customer service, conveying accurate and relevant project status updates, problems, and customer issues to the sales team in a timely manner.
  • Maintain complete and accurate records of the entire project, including approved plans, budgets, schedules, correspondences, product orders, acknowledgements, delivery tickets, labor timesheets, and subcontractor invoices.
  • Execute and adhere to project timelines, including order entry, production schedules, delivery, installation, and problem resolution.
  • Communicate project status throughout the sales process.
  • Identify project issues and provide cost-effective solutions to ensure project completion while minimizing gross profit erosion.
  • Manage and monitor the furniture ordering process, including order acknowledgements, installation packets, schedule updates, back charges, punch lists, warranty claims, and proof of deliveries.
  • Participate in project planning and design meetings, including internal furniture design meetings, and provide input as appropriate.
  • Review final furniture plans with the designer for accuracy and completeness relative to RFP information and site conditions.
  • Assist in developing furniture packages in response to RFPs.
  • Participate in client presentation meetings and explain the project manager role throughout the project duration.
  • Develop client relationships through consistent communication, building confidence in the team’s ability to meet expectations.
  • Research, craft, and assemble proposals and bids tailored to customer needs by collaborating with the sales team and subject matter experts, including pricing, discounts, and installation costs.
  • Monitor job sites during delivery and installation phases by communicating closely with onsite contacts.
  • Attend construction meetings and provide information to the general contractor to ensure site readiness.
  • Work with manufacturer’s reps, warehouse staff, and the internal team to resolve problems in a timely manner.
  • Schedule use of service elevators, loading docks, and parking facilities, and coordinate building access with appropriate building managers.
  • Maintain a working knowledge of all OM Workspace preferred vendor products to offer immediate solutions for unexpected site issues.

Requirements

  • Bachelor’s degree in Project Management, Design, Business Administration, Interior Design, or equivalent experience.
  • 3–5 years of experience in construction or project management, acquired through formal education or on-the-job application.
  • Ability to navigate AutoCAD drawings using viewer software (e.g., TrueView).
  • Ability to read and interpret floor plans, blueprints, and installation drawings.
  • Analytical and problem-solving skills, with strong organizational and project management abilities.
  • Working knowledge of preferred vendor products (e.g., Teknion).
  • Strong written and verbal communication skills, with the ability to influence stakeholders at all levels.
  • Ability to develop and sustain productive customer relationships.
  • Ability to lead and engage a work team to deliver results and achieve project objectives.
  • Ability to identify project and sales opportunities to drive company revenue.
  • Travel within a given market or geography (50–75%), with additional travel outside the market as required by projects.
  • Ability to work in all-weather conditions and safety-sensitive construction environments.
  • Valid driver’s license and own transportation.
  • Familiarity with all phases of commercial furniture projects for scheduling purposes.
  • Proficiency in Microsoft Excel, Word, and Outlook; Microsoft PowerPoint and Project a plus.
  • Personable, presentable, and a self-starter able to make timely decisions.
  • Able to take direction well and execute efficiently and effectively.
  • Flexible with respect to change initiatives.

Project management, safety training, and/or LEED certification are a plus.

Pay

The salary range for this role is $65,000 to $71,000 per year, with adjustments made to comply with all state and local minimum wage requirements.
